Parent Data Confirmation and Universal Benefits Application

There seems to still be some confusion, so we are clarifying out intended actions, as many comments added to this idea cover a wide variety of requests:
We are planning development during the current quarter to make specific upgrades to allow recording in Aeries which students were designated as Free or Reduced based on the UBA (and not the NSLP Application) via a new Source Code. Also, in the same way that districts can make the NSLP application available for download in the parent portal, a customized UBA could also be uploaded into the Parent Portal so they can access it to fill out.

Allow Teachers to add Student Alias Names
Allow teachers to add student alias names in gradebook.

Allow Portal Options to be copied from one school to another.
Add an option to be able to copy Portal options from one school to another. This includes settings for Data Confirmation.

Attendance Recovery Block Hour Tracking & Reporting
CDE new mandate requires that students may only earn attendance recovery minutes in full one-hour increments. Fractions of an hour are not eligible to be counted toward recovery. This creates a challenge when tracking student participation. Current Aeries functionality does not automatically differentiate between “time attended” and “time eligible for recovery credit.”
1. Apply CDE Hour-Block Rule – System calculates and credits only full hours toward recovery.
Example: 35 minutes = 0 hours earned; 1 hour 45 minutes = 1 hour earned; 2 hours 55 minutes = 2 hours earned

Expanded Learning Opportunities (ELOP) - The ability to track and report Student registration and participation is needed for 25/26 SY
A method is needed to track the ELOP opportunities that students are registered for and participating is needed for the 25/26 school year. It will now be incorporated into the CALPADS process. The districts would benefit tremendously from having this. I know in California we need it! It will help with reporting state information to see and compare how it relates to the funding we receive.

Here are the relevant revision notes:
New Year Rollover:
- For California districts, data in the following tables will roll over for records with start dates on or after July: Supp Att Calendar (ATC), Supp Att Assignments (ATA), Supp Att Data (ATD).

- Configurations > District Settings:
- A new district setting titled “Supplemental Attendance Program Codes for Attendance Recovery” is now available. Users with Edit rights can identify which Supplemental Attendance Program (ATP.TY) codes are used for this program type. See District Settings.

Make a report to track Chronic Absenteeism
We need the ability to easily pull Chronic Absenteeism information. Specifically, it would be nice to pull it by a date range; i.e. 8/19/2021 to 9/30/2021. With Chronic Absenteeism being so very important, it would be oh so dandy to have this be a report that we can have our sites run regularly.

CALPADS Data Validations
Due to the new CALPADS Post Process Redevelopment, Data Validations are needed in Aeries before the file is submitted to CALPADS. A file can only post if it passes all input validations. If a file has 1 error, the entire file will reject. The file extract process will take care of the bulk of these file format validations, but cross-field and/or valid code combination errors may still occur. New validations need to be added to the default set for these types of errors.

Missing Assignments by Student
Print missing assignments from multiple gradebooks by student instead of by gradebook so each student gets one page listing all missing work instead of multiple shreds of paper.

Single Step Option to Hide Class and Teacher Information
Please create a single step option to hide Class, Class Scheduling, Gradebook, and Teacher information from the Parent and Student Portals, Mobile Portal, and from Aeries Communications. Including a date range when this restriction is in effect would be preferable.

Staff Audit Report
To help with Fall 2 reporting, it would be helpful if we had a Staff Audit report in Aeries that HR staff at districts could run to check for errors in staff and teacher records. If it could look for Job Assignments that show as teachers and then look for students or sections assigned to that teacher. If it could look for non-classroom based job assignment and then make sure there are no kids or sections assigned to that person. Also if it could look for Staff records that have missing required CALPADS information such as SEID, FTE, End dates…

Auto email teacher to notify of missing attendance until attendance is posted.
Auto email teachers to notify of missing attendance until attendance posted. Times could be based on period, ADA time or the portal setting. For example, if a teacher has until 5PM to take attendance for classes other than ADA, the teacher would get an auto email at 3:00, 4:00, 4:30, etc to remind the teacher to enter attendance.

When office staff are importing students from Online Enrollment it would be helpful if Aeries stopped them from saving the student record if required fields are not populated.

Data Confirmation and FRE responses Income Survey Audit page
Create an Audit page for Data Confirmation FRE responses that does not feed directly into the FRE table. Instead have the responses feed into a queue, similar to the military and residence survey audit pages.
