Attendance Recovery Tracking & Reporting
CDE new mandate requires that students may only earn attendance recovery minutes in full one-hour increments. Fractions of an hour are not eligible to be counted toward recovery. This creates a challenge when tracking student participation. Current Aeries functionality does not automatically differentiate between “time attended” and “time eligible for recovery credit.”
1. Apply CDE Hour-Block Rule – System calculates and credits only full hours toward recovery.
Example: 35 minutes = 0 hours earned; 1 hour 45 minutes = 1 hour earned; 2 hours 55 minutes = 2 hours earned
2. Flag Eligible vs. Ineligible Time – Store both sets of data (total time vs. credited hours) for transparency.
3. Generate Audit-Friendly Reports – Exportable reports that show: Total time attended; Credited hours applied toward attendance recovery; Ineligible minutes (so auditors can see what was excluded)

Final testing is being conducted on a large update to Attendance Recovery process, which will allow accurate tracking of earned versus utilized time.
Key changes will include:
- Attendance Recovery hours earned are stored at the session level and will be summarized for reporting.
- When an absence is recovered, Minutes Utilized are automatically tracked on the attendance record (ATT.AMU).
- A new Attendance Recovery Bank (ARB) page will be available for California districts, providing a read-only view of all students' AR summary data. Currently only students who have ATD records linked to Attendance Recovery will be visible on this page. We are planning a further enhancement to allow showing all students with recoverable absences on this page.
- A Mass Calculate button on the ARB page will allow authorized users to trigger recalculation of AR data for all students.
- Data available on this page will include totals for the following:
- Total AR Session Days, Hours, and Minutes earned
- Total Verified Absences, Absences Recovered, and Minutes Utilized
- Remaining Minutes available and Recoverable Absences available
- This view of Student-level ARB data can be sorted and filtered to allow schools to identify students with sufficient available minutes to recover any remaining absences.
These changes will improve auditability, reporting accuracy, and alignment with California Attendance Recovery requirements.

We requested that they update their documentation to help LEAs navigate these requirements with confidence." Was this to add a new FAQ to the page or were you asking them to update a particular question number? If so, what number was it?

Since we had to report for P1, until Aeries can do something like the suggestion. I performed the following query. LIST STU ATD ATA STU.ID STU.SC STU.NM STU.GR STU.SC ATD.SE ATD.DT ATD.TM ATD.CD IF STU.ID = ATD.ID AND ATD.TM >= 60. After I retrieved the information into Excel, I evaluated if any student had accumulated a total of 240 credit minutes. (For us, the answer was no, so I reported 0). For P2, that will change as some students were very close and I can only assume that they will accumulate that by P2.

Did anyone find a workaround for P1 reporting in the meantime? I was thinking about querying total absences for all students and combining it with a second query of total AR hours, putting it in a spreadsheet, and adding formulas to do the calculations. Not sure how reasonable this would be given all the constraints.

Since it has been 4 months since the last update to the posted "known issue" regarding AR programming (https://aeriessis.freshdesk.com/support/discussions/topics/14000021384), I wanted to check in. What is the timeline looking like? Is there any chance it will be ready for P1 reporting? LEAs use P1 for budgeting and projections, so if it is not going to be available, we will need to be looking at other solutions. Any further information or timeline would be helpful. I'm sure we are not the only LEA with concerns about this.

For anyone wanting to use supplemental attendance to calculate attendance recovery, we built a process in SQL to handle the calculations in the required blocks of time for this and automatically credit students with a makeup day in ATT. I published the code we use for calculating credits earned and used to the Attendance Slack channel, it could be easily adapted into an SP by any district to automate applying credits.

Now that Flash 305 has come from CDE, how long until we can see the set up in Aeries? I would like to report AR & ELP throughout the year. This will allow us to catch errors before the crunch time of EOY and the Admin have left for the summer.

Based on CDE's new attendance recovery mandate that states that a student can only earn minutes towards AR in 1 hour blocks, not fractions of hours, can Aeries please build logic in the Supplemental Database to help manage & report this accurately?
I'm struggling to balance inputting students that are attending this program and their actual time spent vs whether their time counts or doesn't count.

I am currently on a Calpads webinar and they are discussing a new way to have attendance recovery which must be tracked separately from Reg School Day ADA and Saturday School. It was also stated that this would be reported to CALPADS to contribute to an Alternate Absenteeism Rate and be included in P2/Annual Attendance reporting. How will Aeries build this to keep it separate from Saturday School and allow for accounting for multiple days to make up the daily minute allowance? This Attendance Recovery will also be capped at 10 days per student. Can Aeries also include that when building this in Aeries? This is scheduled to roll out in 2025. Thank you so much!

We are looking at both attendance recovery and independent study for 25-26, and it would be great to have an idea on these features by the end of June (e.g., so we can plan in summer for 25-26).

I know Aeries is good about helping make sure our extracts are accurate for CALPADS reporting. However, the planning for these programs has begun and we can't tell them how to set it up in our system.
