  1. Attendance Recovery Tracking & Reporting

    CDE new mandate requires that students may only earn attendance recovery minutes in full one-hour increments. Fractions of an hour are not eligible to be counted toward recovery. This creates a challenge when tracking student participation. Current Aeries functionality does not automatically differentiate between “time attended” and “time eligible for recovery credit.”
    1. Apply CDE Hour-Block Rule – System calculates and credits only full hours toward recovery.
    Example: 35 minutes = 0 hours earned; 1 hour 45 minutes = 1 hour earned; 2 hours 55 minutes = 2 hours earned

    4/2/26 - Recent updates to Attendance Recovery

    Yesterday’s release contained quite a few items related to Attendance Recovery that we wanted to bring to your attention:

    • We’ve updated our Workflow AR document to make it clear about new set-up tasks that must be completed in order for the process to function properly.
    • A new District Setting for ADA Make-Up has been added and must be defined in order to enable this new functionality.
    • A new field (ATT.AMU) has been added to store Attendance Minutes Utilized when ADA Make-Up is applied for Attendance Recovery.
    • Minutes will be auto-calculated based on the student's Special Ed Alternate Minimum Day, school type, or grade level, depending on which applies.
    • We will be adding a process soon to automatically update the ATT.AMU field for any existing absences previously recovered via AR.

    We've just shipped the final set-up piece to allow the creation of the SUN Bucks Supplemental Submisison extract. The final piece, the EDCS extract itself, is in development, and will be released as soon it passes final testing..


  3. Enhance LEAP File Logic to Include 194 PGM Records Prior to School Start

    Enhance the LEAP file to extract valid 194 PGM records for programs that occur before the official start of the school year. Many districts run funded summer programs, such as ELOP, that end prior to the first day of school and should be included in LEAP reporting.

  5. Keep Over‑Recovered Students Visible in Attendance Recovery Bank

    Currently, when a student recovers more attendance minutes or absences than they are eligible for, their record can disappear from the Attendance Recovery Bank (ARB). This makes it difficult for schools and districts to identify and correct attendance recovery issues.

    This idea proposes keeping all students visible on the ARB page, even when Total Attendance Minutes Available (TMA) or Total Recoverable Absences Available (TAA) become negative. Negative values would be clearly highlighted in red and explained with tooltips, helping administrators quickly spot over-recovery situations, understand why they occurred, and take corrective action without losing visibility into the student’s data.

  7. Align the Student Dental Report with the Updated Dental Page Fields and Labels

    Recent enhancements to the Student Dental page have caused the Student Dental Report to become misaligned with current fields, labels, and data organization. As a result, some report columns are unclear, incorrectly labeled, or no longer reflect how dental information is entered in Aeries, making it difficult for users to interpret results and verify accuracy. Aligning the Student Dental Report with the updated Dental page will improve clarity, reduce confusion, and ensure reported dental data is consistent, reliable, and easy to validate.

  11. Expanded Learning Opportunities (ELOP) - The ability to track and report Student registration and participation is needed for 25/26 SY

    A method is needed to track the ELOP opportunities that students are registered for and participating is needed for the 25/26 school year. It will now be incorporated into the CALPADS process. The districts would benefit tremendously from having this. I know in California we need it! It will help with reporting state information to see and compare how it relates to the funding we receive.

    Hello, I wanted to let you know that the following development was completed as part of the changes for Expanded Learning Programs and shipped on 6/24/2025.

    Here are the relevant revision notes:

    New Year Rollover: 

    • For California districts, data in the following tables will roll over for records with start dates on or after July: Supp Att Calendar (ATC), Supp Att Assignments (ATA), Supp Att Data (ATD).

    School Info: 

    • Configurations > District Settings:
    • A new district setting titled “Supplemental Attendance Program Codes for Attendance Recovery” is now available. Users with Edit rights can identify which Supplemental Attendance Program (ATP.TY) codes are used for this program type. See District Settings.
    • A new district setting titled “Expanded Learning Programs” is now available. Users with Edit rights can identify which Supplemental Attendance Program (ATP.TY) codes are used for this program type. See District Settings.

    Please add a numbered column to the Course Requests/Scheduling page so students and counselors can ensure that each student has requested the correct number of courses for the following year.
    Right now we have to count each line or wait until the end to run a report - being able to see their total number of requested courses in real time would REALLY help. thanks!!

    The following was released in an update on 04/01/2026. Here are the relevant release notes:

    Student Data > Medical > Dental:

    • The Dental (DNT) table has been enhanced to automatically capture insert and update user details, providing improved accountability and visibility for auditing purposes.
    • Insert/Update date/time, user ID, user name, and user type are now stored for Dental records in the DNT table and are automatically populated on Add and Edit actions.
    • The new fields are available in the UI, Query, Database Definition page, and Database Definition Report.

    Student Data > Medical > Dental: Many fields and descriptions were adjusted in the Dental page (DNT) to better align with state reporting requirements.

    • New fields were added for Parent Notification Date (PND) and On-Site Screening Opt-Out (OPT).
    • Descriptions updated on existing fields to better align them with the reporting requirements.
    • Dropdown fields for Waiver Reason, Treatment Urgency, and Follow‑Up
  14. CCGI Extract - Course Level mapping options

    Currently, the CCGI Extract page only lets you map HIS and SEC by terms. We have unique courses that need to be mapped individually, so it would be nice for the extract to somehow allow for more flexible mapping of the WIP and Terms being sent to CCGI.

    Example - We are a Trimester-based Scheduling school, but the courses are technically "Semester" length courses (earning 5 credits). This means many of the T2 sections of courses can either be considered S1 or S2; however, the extract only allows to map it to one or the other.

  16. Optimize Page Load Performance on Counseling Page for Students with Many Records

    The Counseling page (Counseling.aspx) experiences performance issues when a student has a large number of counseling records or when the records contain long comments. The page loads slowly when initially accessed, and there are delays when trying to add, save, or delete records.
