Attendance Recovery Tracking & Reporting
CDE new mandate requires that students may only earn attendance recovery minutes in full one-hour increments. Fractions of an hour are not eligible to be counted toward recovery. This creates a challenge when tracking student participation. Current Aeries functionality does not automatically differentiate between “time attended” and “time eligible for recovery credit.”
1. Apply CDE Hour-Block Rule – System calculates and credits only full hours toward recovery.
Example: 35 minutes = 0 hours earned; 1 hour 45 minutes = 1 hour earned; 2 hours 55 minutes = 2 hours earned

Yesterday’s release contained quite a few items related to Attendance Recovery that we wanted to bring to your attention:
- We’ve updated our Workflow AR document to make it clear about new set-up tasks that must be completed in order for the process to function properly.
- A new District Setting for ADA Make-Up has been added and must be defined in order to enable this new functionality.
- A new field (ATT.AMU) has been added to store Attendance Minutes Utilized when ADA Make-Up is applied for Attendance Recovery.
- Minutes will be auto-calculated based on the student's Special Ed Alternate Minimum Day, school type, or grade level, depending on which applies.
- We will be adding a process soon to automatically update the ATT.AMU field for any existing absences previously recovered via AR.
- We’ve added the Attendance Recovery Bank page that provides a read-only view of each…

- Code Translations: Added support for NSLP Source Code (FRE.SRC) mappings in CALPADS Code Translations. Districts can now map local NSLP source codes to EDCS fixed codes. This new mapping will be used for supporting Sunbucks. See Prepping for Supplemental SUN Bucks Collection (SSBC) via EDCS.

CALPADS STAS - Do Not Populate Attendance Recovery Field for Exempt Students
To prevent STAS0304, do not populate any value in the Attendance Recovery column for students marked as exempt when generating the STAS file. The Attendance Recovery Days column should contain 'null' if the student is exempt from Attendance based on the 13.13 Student Absence Summary Data Collection Exemption Indicator.

CALPADS STAS Extract - Add Attendance Recovery Days
Beginning in 2025/26 the CDE will begin collecting the total number of days, as defined by statute, in the academic year in which a student participated in an attendance recovery program. Adjust the STAS extract file to include these calculations for reporting the Attendance Recovery (AR) days.
50 votesHello, the STAS file layout has been updated to include the Attendance Recovery Days column. The data will extract with 0 at this time. The business rules will be implemented later closer to the time it will be collected in the EOY CALPADS submission.
CALPADS has informed all vendors that they will be implementing the new layout in a couple weeks, closer to the end of September. LEAs should refrain from uploading any STAS extracts until CALPADS has implemented these changes.
As a reminder, the STAS extract is not required to be submitted until the End of Year submission.

Next Year Calendar Page Issue Reported Post 4/1/26 Release
An issue has been reported regarding the Next Year Calendar page that was introduced in the 4/1/26 release.
When using the option to Eliminate a Week From Calendar, the Monday date can be adjusted and the new dates will adjust; however, once save is clicked, the Tues-Fri dates revert back.

Limit Attendance Recovery Bank Calculations to District‑Selected ADA Make‑Up Codes
Enhance the Attendance Recovery Bank so that the Total Absences Recovered only include the ADA Make‑Up Codes explicitly selected in District Settings for Attendance Recovery.
Currently, the Attendance Recovery Bank counts all ADA make‑up codes found on attendance records, even when only specific codes (such as the district’s designated Attendance Recovery code) are selected. TREx Student Record Export Omitting Special Education Indicator for Non-SPED Students
The TREx Student Record export file is omitting the Special Education indicator of '0' for students that are NOT receiving SPED services. Aeries documentation for the TREx export file indicates that the SPED indicator is sent as '0' when the student is non-SPED.

Attendance Recovery Bank Page — District Settings Warning & Minutes Utilized Population
To ensure the page functions correctly and to quickly take corrective action, add a warning message on the Attendance Recovery Bank (ARB) page when required District Settings are missing or when Minutes Utilized (ATT.AMU) records are unpopulated for Attendance Recovery-defined attendance records.

Students missing the Student Education Organization Association entity and triggering the PEIMS Error 40110-0001
Students that have multiple Enrollment (ENR) records in the current school year where enrollment at a prior school has been deleted (DEL-tagged) are failing to send a record in the Student Education Organization Association entity. The entity must be updated to exclude these deleted ENR records when evaluating the student's enrollment status for the current school year.

Expanded Learning Opportunities (ELOP) - The ability to track and report Student registration and participation is needed for 25/26 SY
A method is needed to track the ELOP opportunities that students are registered for and participating is needed for the 25/26 school year. It will now be incorporated into the CALPADS process. The districts would benefit tremendously from having this. I know in California we need it! It will help with reporting state information to see and compare how it relates to the funding we receive.

Here are the relevant revision notes:
New Year Rollover:
- For California districts, data in the following tables will roll over for records with start dates on or after July: Supp Att Calendar (ATC), Supp Att Assignments (ATA), Supp Att Data (ATD).
School Info:
- Configurations > District Settings:
- A new district setting titled “Supplemental Attendance Program Codes for Attendance Recovery” is now available. Users with Edit rights can identify which Supplemental Attendance Program (ATP.TY) codes are used for this program type. See District Settings.

Could Aeries provide a page or process for collecting the data and a report for reporting SCOHR (System for California Oral Health Reporting) data?

Student Data > Medical > Dental:
- The Dental (DNT) table has been enhanced to automatically capture insert and update user details, providing improved accountability and visibility for auditing purposes.
- Insert/Update date/time, user ID, user name, and user type are now stored for Dental records in the DNT table and are automatically populated on Add and Edit actions.
- The new fields are available in the UI, Query, Database Definition page, and Database Definition Report.
Student Data > Medical > Dental: Many fields and descriptions were adjusted in the Dental page (DNT) to better align with state reporting requirements.
- New fields were added for Parent Notification Date (PND) and On-Site Screening Opt-Out (OPT).
- Descriptions updated on existing fields to better align them with the reporting requirements.

Define Required Fields for the FOF table
This is a request that the Define Required Fields page include the FOF table. There are certain fields that are required when submitting a FOF record up through CALPADS (such as Effective Date, Leave, etc.) The ability to define certain fields as required before they can save a 504 record would be helpful.

Optimize Page Load Performance on Counseling Page for Students with Many Records
The Counseling page (Counseling.aspx) experiences performance issues when a student has a large number of counseling records or when the records contain long comments. The page loads slowly when initially accessed, and there are delays when trying to add, save, or delete records.

Dental Fields Update
Our nurses have requested that the fields on the Dental table be updated to match the form they have to submit to the CA State DPH. Right now, Aeries has fields for "Visible Fillings" and "Visible Cavities", but the form the nurses have to complete asks for "Untreated Decay (visible decay present)" and "Caries Experience (visible decay and/or fillings present)".
