CALPADS - LEAP Extract 2025/26 academic year
CALPADS announced a new LEAP extract file to be submitted for the Expanded Learning Program code 194. The LEAP extract will be part of the EOY submission beginning in 2025/26 school year. Aeries will create an extract process in CALPADS Extracts EOY tab. The file will be used to report the number of days a student participated in the Expanded Learning Program.

CALPADS STAS Extract - Add Attendance Recovery Days
Beginning in 2025/26 the CDE will begin collecting the total number of days, as defined by statute, in the academic year in which a student participated in an attendance recovery program. Adjust the STAS extract file to include these calculations for reporting the Attendance Recovery (AR) days.
28 votesHello, the STAS file layout has been updated to include the Attendance Recovery Days column. The data will extract with 0 at this time. The business rules will be implemented later closer to the time it will be collected in the EOY CALPADS submission.
CALPADS has informed all vendors that they will be implementing the new layout in a couple weeks, closer to the end of September. LEAs should refrain from uploading any STAS extracts until CALPADS has implemented these changes.
As a reminder, the STAS extract is not required to be submitted until the End of Year submission.

CALPADS STAS - Do Not Populate Attendance Recovery Field for Exempt Students
To prevent STAS0304, do not populate any value in the Attendance Recovery column for students marked as exempt when generating the STAS file. The Attendance Recovery Days column should contain 'null' if the student is exempt from Attendance based on the 13.13 Student Absence Summary Data Collection Exemption Indicator.

CALPADS CRSE: Dual College Credit Course Extraction Logic for Fall 2 Reporting
Enhance CALPADS CRSE reporting logic for Fall 2 submissions to correctly handle Dual College Credit courses:
- For courses where Course Level = 24, if the -
College State Course Code (CRS.CC3) field is populated with a valid college state course code, extract from CRS.CC3 field and extract the course as a Dual Credit course in the CRSE file.
- For courses where Course Level = 24, if CRS.CC3 is null or not populated with a valid college state course code, use the State Course Code (CRS.C3) and extract the course as a Dual Credit Course in the CRSE file.4 votes -
CALPADS SENR - Allow Short Term enrollment records to extract with completion status codes
The SENR extract fails to include the Completion Status Code even though it is populated in Aeries. This causes an error in CALPADS: SENR0029 – Missing Completion Status. Adjust the CALPADS SENR logic to include completion status codes from STU.HSG, Graduation Exemption Indicator STU.GEX and Date Graduated STU.DG when the student's enrollment status is 30-Short Term and the fields are populated.

High Quality CTE Course Indicator for virtual college courses
In the CALPADS EOY CRSC extract files, college courses (Course Level = 23 or 24) that are assigned a CTE state course code (7000-8999) require a high Quality CTE Course Indicator. The 9.36 field should populate with a Y to indicate the course and teacher meet the High Quality CTE Course qualifications when the college CTE course is virtualized and no section or section school is assigned.

CALPADS Extract Should ALLOW LEAs to NOT Auto-Populate End Dates for SPRG Files
When districts generate SPRG files within the last 30 calendar days of the school year, the SPRG file created by Aeries will automatically close out all program records with the last day of school. The 'Do Not Extract Future Dates' does NOT apply to SPRG, it only applies to SENR. Aeries should allow DISTRICTS to determine if/when they auto-close program records in CALPADS prior to the end of school, similar to SENR records. Do not auto-close records prior to the end of the school year.

CALPADS STAS - honor mid year grade level changes that should exclude PS
If a student changes grade levels mid-year (e.g., from PS to TK), the STAS extract is combining all absences into a single record. The current logic is using STU to determine the grade but in order to honor grade level changes, the ENR table must be used instead. Adjust so that only TK is included and the PS totals are excluded when a grade change occurs.

CalPads Log Details - PLEASE Add Button ASAP
PLEASE add "edit" button so you can check the boxes of certain lines you want deleted. "Delete All" could work also.
It is very time consuming to delete each line individually. Click Pencil, Click Trash, Click Ok button Click CLICK CLICK CLICK.
Sometimes there are over 25 entries and in order for certain errors to go away you need to delete the calpads log records.

CALPADS EOY CRSC/SCSC Academic Term not pulling the correct Semester when virtualized
For transcript records that include college courses (Course type 23 or 24), when the course is virtualized, the Academic Term needs to honor the semester that the course was added to.

No Show Setup - New Prior Year Exit Default Date
I have struggled for years with the issue of having the correct No Show date be used - because the No Show Wizard does NOT help our users make the correct choice.
So, Here is my solution proposal.

CALPADS LOG - CALPADS Extracts - Immutable attributes
There are certain fields that are currently captured in the CALPADS Log for which the fields do not need a history as they are immutable attributes of a student. Any changes will represent the correction of previously incorrect data.
For example:
USS: The first date of US K-12 Enrollment.BCU, BST, BCY: The birth country/state details
We spend hours every year dealing with the clean up of the CALPADS log for these entries. The history prevents SSID acquisition until cleaned up, as the original (blank) value is used.

There are still "NO LONGER IN USE" State Course Codes floating around in the system. I know not to use them but I think it would be helpful to remove them completely so they are not even an option.

CALPADS Log should ignore CON.ELV
Please include CON.ELV as one of the fields ignored from date changes for the SINF extract, even if just temporarily, to help us navigate through Fall 1.
Many districts are actively addressing the issue of thousands of CALPADS fatal errors with code SINF0453F1, related to the missing Parent Guardian Highest Education Level.
