Parent Data Confirmation and Universal Benefits Application
SUN Bucks 2025 eligibility changes mean that the Universal Benefits Application form needs to be accessible in Parent Data Confirmation process. CDE-UBA Form - https://www.cde.ca.gov/ls/nu/documents/uba2025-26.docx

This clarification message was added to the SUN Bucks communcation pieced linked earlier, so we are adding it here to maintain consistency as to our plans:
-----------------
There seems to still be some confusion, so we are clarifying out intended actions, as many comments added to this idea cover a wide variety of requests:
We are planning development during the current quarter to make specific upgrades to allow recording in Aeries which students were designated as Free or Reduced based on the UBA (and not the NSLP Application) via a new Source Code. Also, in the same way that districts can make the NSLP application available for download in the parent portal, a customized UBA could also be uploaded into the Parent Portal so they can access it to fill out.
The actual collecting of the UBA, analyzing the responses, assigning the status to a student, and conducting audits would remain a district-function, in the same way that collecting, analyzing, and auditing NSLP applications currently are handled by the districts. Some may utilize their 3rd-party Nutrition Services vendor for these activities, such as collecting the NSLP applications electronically.
I hope this clarification is helpful. 4/14/25

My understanding is via the PDC the income survey can be used for LCFF as well as the separate UBA form (however that form will be handled). We have a hard time getting our families to fill in the simple income survey on the PDC. If we change it to the UBA our LCFF funding is going to drop as the families are not going to go to the UBA extent. We have so many DC families so those needing to do the UBA to get their SunBucks is minimal.
If others are in a different boat maybe do TWO? The UBA and the simple income survey.

The Alternate Income Form should still be a part of Parent Data Confirmation to allow districts to get the most for LCFF purposes and clear language stating this is for school-year benefits. Logic should be built into the response received to redirect the family to another page for the Universal Benefits Application being clear that this is for Summer benefits. It leaves the burden of choice to the family especially considering the UBA asks for more information than the AIF and requires auditing.

This is a must with the new policy from CDE.

This is a high priority as it is being required by the state.

Please implement this, anything to streamline the process for parents and us is extremely beneficial.

Even if it is a link that after a parent does the AIF and is found to be in the lower category it takes them to the UBA form. No need to have everyone fill it out if they are not going to qualify, it is lengthy and I think they may only need to fill one out per family since all the student names go on it.

The time savings to have this be adjudicated through Aeries platform would be an immense timesaveer as this is now a requirement for all districts in CA.

We need to not only be able to collect the required information, but we also have to be able to extract the data for state reporting to EDCS.

With new policy and needs coming down from the CDE. I think any and all help with making the processes easier for not only for those of us that work in Aeries but for Parents would be amazing.

Please let us know if and when this will be implemented into PDC in place of the Alternative Income Form. Thanks!

It should also include the extract needed for import into EDCS based on their specifications.

First of all, can we change the format of this form? Meaning can we consolidate lines for the "Names of all Household Members" information? Because how it is right now, if a parent has a job, is getting alimony, some sort of pension and sold a cow, they would have to fill out a lot! Could we incorporate drop down menus and perhaps do a sibling match auto populate option? Plus I would leave out the SSN option. This is just a few ideas if we can actually change any format.

I think it should be a dynamic form with if this, then that logic.
