Attendance Recovery Block Hour Tracking & Reporting
CDE new mandate requires that students may only earn attendance recovery minutes in full one-hour increments. Fractions of an hour are not eligible to be counted toward recovery. This creates a challenge when tracking student participation. Current Aeries functionality does not automatically differentiate between “time attended” and “time eligible for recovery credit.”
1. Apply CDE Hour-Block Rule – System calculates and credits only full hours toward recovery.
Example: 35 minutes = 0 hours earned; 1 hour 45 minutes = 1 hour earned; 2 hours 55 minutes = 2 hours earned

There seems to still be some confusion, so we are clarifying out intended actions, as many comments added to this idea cover a wide variety of requests:
We are planning development during the current quarter to make specific upgrades to allow recording in Aeries which students were designated as Free or Reduced based on the UBA (and not the NSLP Application) via a new Source Code. Also, in the same way that districts can make the NSLP application available for download in the parent portal, a customized UBA could also be uploaded into the Parent Portal so they can access it to fill out.

Add notes in Online Enrollment
The office staff refers to the Online Enrollment page to get an idea of how many are still pending import. They go through the list to call families. There is information collected when calling the families. It would be nice to be able to add notes for the pending import records so all stakeholders have access to that information such as if someone had already contacted the family or if there is any documentation still missing etc.

Option to View and/or Select multiple Student Documents instead of automatically downloading
For privacy reasons, all students docs should be viewable first before they are able to be downloaded, with an option to download multiple files if needed into a zip file. Right now Aeries automatically downloads documents. Entering data into the demographics or immunizations does not require a download, especially if you're doing this for thousands of students. Student and parent personal information should not be stored as files on our computers that we later need to go through and delete. It takes up storage and is tedious.

CALPADS - LEAP Extract 2025/26 academic year
CALPADS announced a new LEAP extract file to be submitted for the Expanded Learning Program code 194. The LEAP extract will be part of the EOY submission beginning in 2025/26 school year. Aeries will create an extract process in CALPADS Extracts EOY tab. The file will be used to report the number of days a student participated in the Expanded Learning Program.

Restrict Calendar Modifications Post-Attendance Initialization
Currently, users are able to bypass system warnings and proceed with Calendar changes even after attendance has been initialized for the academic year. This behavior creates inaccuracies in pre-existing attendance data.
To safeguard data integrity, please enhance the system to strictly prevent any modifications to Calendar dates once attendance has been initialized. This restriction will ensure that critical attendance data remains accurate and consistent throughout the year.22 votes -
CALPADS STAS Extract - Add Attendance Recovery Days
Beginning in 2025/26 the CDE will begin collecting the total number of days, as defined by statute, in the academic year in which a student participated in an attendance recovery program. Adjust the STAS extract file to include these calculations for reporting the Attendance Recovery (AR) days.
28 votesHello, the STAS file layout has been updated to include the Attendance Recovery Days column. The data will extract with 0 at this time. The business rules will be implemented later closer to the time it will be collected in the EOY CALPADS submission.
CALPADS has informed all vendors that they will be implementing the new layout in a couple weeks, closer to the end of September. LEAs should refrain from uploading any STAS extracts until CALPADS has implemented these changes.
As a reminder, the STAS extract is not required to be submitted until the End of Year submission.

Import Test Results - Update i-Ready import to support Reading Spanish Diagnostic Results Export
The Import Test Results page is currently programmed to support only the Diagnostic Results layout, which includes a single comma-separated (.csv) file for English results and another for Math results.
Please add programming support for the new Reading Spanish layout to allow importing Spanish Lexile scores for assessment of Spanish reading proficiency.18 votes -

When Digital Delivery Type is selected, the “Letters to Print/Mail” PDF should include only students who were tagged for print or whose digital delivery failed,

Check for Existing Records through Import Data to Aeries - Supplemental Attendance
On the Import Data to Aeries page, it would be great if it checked for preexisting identical rows of data within the table and prevented duplicate uploads for information into the Supplemental Attendance Data (ATD). This would allow a continuously running attendance roster without having to separate out student data that has already been uploaded, allowing us to keep a Master sheet instead of having to start over or manipulate data for each new upload cycle. Online Enrollment - TX Home Language Survey - Allow multiple language selections per question
Based on the June 2025 version of the TEA Home Language Survey, please update the first 3 language fields so that the parent can select multiple languages per question. On the import side, allow the staff members to narrow down the multiple languages submitted by the parent to a single language to be imported. Additionally, update the Language Information preview to display all of the questions, and ensure that the Home Language Survey report in Aeries is updated to reflect June 2025.

College Entrance Requirements-Science
On the College Entrance Requirement Screen, can we have a Physical Science and a life science delineation? The A-G Requirements are 1 year of a Life Science and 1 Year of a Physical Science and lumping them together has the potential of it looking like a student met their A-G but their 2 years of science may actually be 2 years of physical science or 2 years of life science. See screen shot for an example.

Support Non-Semester Grading Structures in CSF Eligibility Report
To align with Section 12 of the updated CSF Bylaws, the code should be updated to dynamically adjust the CSF points based on the grading structure (semester, quarter, trimester, or block) and apply the appropriate honors multipliers accordingly.

Report for counts of how many completed PDC
My Superintendent asks for daily updates on how many students have / have not completed the data confirmation process. It is cumbersome to have to run this report by site (I see there is an idea to have it ran district wide), but if there was a report that would just have total counts like students enrolled, PDC completed, PDC not completed, this would save us so much time every day.

State Electronic Test Scores - HTML Initial ELPAC mislabeled
When selecting the HTML print option for Initial ELPAC scores under State Electronic Test Scores, the label displayed is "Scores Available in: HTML – Summative", when the report being accessed is actually for Initial ELPAC, not Summative.

CALPADS STAS - Do Not Populate Attendance Recovery Field for Exempt Students
To prevent STAS0304, do not populate any value in the Attendance Recovery column for students marked as exempt when generating the STAS file. The Attendance Recovery Days column should contain 'null' if the student is exempt from Attendance based on the 13.13 Student Absence Summary Data Collection Exemption Indicator.
