Implement Warning System for 504 Plans with Same-Day Start and End Dates
Description of Issue:
Currently, Aeries allows users to create and save a 504 record with the same start and end date. While this may not trigger any errors in Aeries, it creates downstream problems in CALPADS, as those records will not post successfully. This leaves users unaware of an issue until after the CALPADS submission fails, causing delays, confusion, and extra troubleshooting.Proposed Solution:
Implement a warning/error system within Aeries that prevents saving a 504 plan if the start and end date are the same. Ideally:A hard stop error would prevent saving the record until corrected.

Parent Data Confirmation - Parent ability to copy shared info between students
When parent is completing DATA CONFIRMATION they should have the option to copy all contacts, family info, and income to all their other students at the same time. Not have to do one at a time. So when they move on to the other child, they would only only need to finish stu info, insurance authorization. Saving lots of time for parents with multiple students

No Show Setup - New Prior Year Exit Default Date
I have struggled for years with the issue of having the correct No Show date be used - because the No Show Wizard does NOT help our users make the correct choice.
So, Here is my solution proposal.

Grade Alerts for Elementary Campuses in Parent Portal APP
Elementary parents should have the option to setup grade alerts in the Parent Portal APP. Currently this is only available for secondary campuses.

Allow the cohort field to be used at elementary districts
We are a K-8 district and we would like to be able to use the cohort field to analyze data trends rather than just grade levels. We use a 3rd party system for data analysis and they have requested a cohort field to better optimize the results within their system.

Inactivate Service Learning Organizations
Enhance the Service Learning Organization page to have the ability to inactivate an existing organization so inactive organizations are no longer present but may be re-activated if needed and are still visible in historical logs/reports.

Gradebook : Display U3 EL/SPED Codes in Teacher Gradebook like in ATT pages
Currently, Aeries allows us to display the U3 EL/SPED codes on attendance screens, which is a great help for teachers. However, teachers also need to access this critical student information within the gradebook to better support their students.
Problem: Teachers must navigate away from their gradebook to the student's demographic page to view U3 EL/SPED codes. This process is time-consuming and disruptive to the workflow of grading and planning.
Proposed Solution: Add an option to display the U3 EL/SPED codes directly in the teacher's gradebook view, similar to how they are displayed on the attendance screen.

Allow alternative schools to use the academic plan during senior year. Alternative schools are very dynamic in nature when it comes to scheduling as students need to recover various credits. This is of greater signfiicance for sites that have a quarter system and don't build out their entire master schedule quarters 1-4 at once.

Integrate GPT-Powered Query Generation into Aeries Next Gen
As part of the Aeries Next Gen platform, it would be extremely valuable to integrate GPT (Generative Pretrained Transformer) technology for districts using the hosted Aeries solution — specifically for generating and refining Aeries Queries.
Currently, many users find the Aeries query process cumbersome, resulting in frequent inaccuracies or empty results. By leveraging LEA-specific GPT models or machine learning, Aeries could introduce a natural language interface that allows users to ask open-text questions which are then converted into accurate Aeries queries.

CALPADS LOG - CALPADS Extracts - Immutable attributes
There are certain fields that are currently captured in the CALPADS Log for which the fields do not need a history as they are immutable attributes of a student. Any changes will represent the correction of previously incorrect data.
For example:
USS: The first date of US K-12 Enrollment.BCU, BST, BCY: The birth country/state details
We spend hours every year dealing with the clean up of the CALPADS log for these entries. The history prevents SSID acquisition until cleaned up, as the original (blank) value is used.

Visitation Tag
Under the Visitation page, there is a Tag dropdown. It would be useful when someone tags admin or the counselor, we would be notified by an email, much like Discipline entries can notify an admin. Otherwise, we would have to run a query that would be very cumbersome. Who knows how many teachers changed the tag to "follow-up with a counselor" and I have had no idea!

Attendance Recovery Tracking & Reporting
CDE new mandate requires that students may only earn attendance recovery minutes in full one-hour increments. Fractions of an hour are not eligible to be counted toward recovery. This creates a challenge when tracking student participation. Current Aeries functionality does not automatically differentiate between “time attended” and “time eligible for recovery credit.”
1. Apply CDE Hour-Block Rule – System calculates and credits only full hours toward recovery.
Example: 35 minutes = 0 hours earned; 1 hour 45 minutes = 1 hour earned; 2 hours 55 minutes = 2 hours earned

Yesterday’s release contained quite a few items related to Attendance Recovery that we wanted to bring to your attention:
- We’ve updated our Workflow AR document to make it clear about new set-up tasks that must be completed in order for the process to function properly.
- A new District Setting for ADA Make-Up has been added and must be defined in order to enable this new functionality.
- A new field (ATT.AMU) has been added to store Attendance Minutes Utilized when ADA Make-Up is applied for Attendance Recovery.
- Minutes will be auto-calculated based on the student's Special Ed Alternate Minimum Day, school type, or grade level, depending on which applies.
- We will be adding a process soon to automatically update the ATT.AMU field for any existing absences previously recovered via AR.

504 Attendees
The plan doesn't print whether they attended or not, even though we mark yes/no on the stakeholders page. Can we get this added to the signature page? Or can the signature page not include them if they were marked NO as not attending?

Have a "find" option where we could type some of the wording to locate the accommodation in the list when trying to add accommodations.

Import Test Results - Update i-Ready import to support Reading Spanish Diagnostic Results Export
The Import Test Results page is currently programmed to support only the Diagnostic Results layout, which includes a single comma-separated (.csv) file for English results and another for Math results.
Please add programming support for the new Reading Spanish layout to allow importing Spanish Lexile scores for assessment of Spanish reading proficiency.
Important Note: While the current mapping similarities in the headers allow the new Reading Spanish file to post, this often results in incorrect subject associations and data inconsistencies.25 votes -
Only allow 1 primary insurance for the insurance form
With the new insurance form, the system does not prohibit a student having multiple primary insurers at the same time. When you pull the data you get multiple records when in actuality a student only has one primary coverage and additional coverage would be secondary. If we can only allow for one primary insurer or look at dates as coverage can change based on the dates. etc. That would help narrow the issue of a parent selecting multiple primary insurers.

Add notes in Online Enrollment
The office staff refers to the Online Enrollment page to get an idea of how many are still pending import. They go through the list to call families. There is information collected when calling the families. It would be nice to be able to add notes for the pending import records so all stakeholders have access to that information such as if someone had already contacted the family or if there is any documentation still missing etc.
