  1. CALPADS SENR ODS Process and the "Adult Age Students with Disabilities in Transition Status" Indicator

    The CALPADS SENR ODS Process needs to be adjust for field 1.34 "Adult Age Students with Disabilities in Transition Status" Indicator when students have an exit date in the Special Ed Exit date field (CSE.XD) during the current school year and the CALPADS SENR ODS file has "Y" for field 1.34. Currently the process is changing the "Y" to an "N" if the student has an exit date in the Special Ed Exit date field (CSE.XD) during the current school year.

    Enhance the CALPADS SENR Extract to insert an exit reason code of E156 for returning students coded with a STU.GR/STU.NG that is translated to grade 12 in Code Translations (XRF).
    i.e. local STU.GR/NG = 14-16 and XRF Student Grade (STU.GR) 14-16 = 12.

  3. Update the auto-creation process for SPRG Code 185-TK program records to verify the grade level

    Update the auto-creation process for SPRG Code 185-TK program records to verify the grade level of the actual ENR records to determine the start date of the TK program record, if it changed after the beginning of the student's enrollment record that year. The SPRG TK record should start as of the first day of TK enrollment for the school year.

  4. Add LIP special program records automatically

    Currently, we have a SQL script that generates 301 LIP program records for all students enrolled in our Dual Immersion charter school and 305 LIP records for all EL students at all of our other schools. Then it adds an end date to the 305 LIP record when the student is RFEP'd. It would be nice if we could do this within Aeries instead of relying on a SQL script.

  5. CALPADS Extract - Direct Certification - Email Details

    When importing the DC file in the complete email could we have which students were updated not just a total updated? See below for sample of the email:

    Total Records Processed: 1,091
    Students not found: 0
    Number of students in file with codes other than 'S', 'T', 'M' and, 'R': 579
    FRE - Records Added: 9
    FRE - Records Updated: 1

    This is a CALPADS bug on their end. They DO intend to allow these special characters again, so we will not be changing our process at this time. If the 

    SINF update is needed, the customer either needs to make it manually in OM, or remove the offending characters from Aeries, but ALSO delete the CALPADS log entries for that change (the ones that contain the offending characters) so they won't be extracted also.

  7. CALPADS SELA Import/Conflict Report - Add Home Language

    Please add the Reporting Home Language as part of the SELA Import process. In auditing data we found it would be useful to have the SELA Conflict Report also compare the Reporting Home Language listed in CALPADS to what is in Aeries for testing purposes.

  8. Don't make auto close enrollment E155 default

    Can you make this setting have the ability to be save if unchecked. There are many reasons why I don't want the system to auto close an enrollment due to SINR, SIRS and SOFF files that won't post if uploaded against a close enrollment. It's a pain to try and remember to uncheck it every time I go in to the extracts page..

  9. LTEL Import Process page needs checkmarks to track progress

    Please add checkmarks and other messages so it is apparent what step(s) have been completed. The SELA Import Process under ODS Reconciliation has helpful checkmarks that clearly shows what step you are on in the entire process.

  11. Print Students With Disability Indicator Field report with SSID import

    Can the email generated when the SSID report is complete include a report of all STU.ID and STU.CID numbers, with a SWD indicator = "Y". We could then forward the report to our Pupil Services department so they can be aware of new students with IEP's

  12. CALPADS - Extract Only School-Level Staff for SDEM/SASS for Charter Schools

    Our charter schools are part of our primary Aeries database for various operational reasons, and our district is responsible for reporting their data to CALPADS. However, they have to be reported separately to CALPADS for special education reasons, so we have to run separate extracts for them.

    Currently, when a user extracts SDEM and SASS files for any set of schools, district office records are included, under the assumption that the district-level records will be relevant. However, when uploading for a charter school, the district-level records aren't relevant, and the files are rejected by CALPADS. As a workaround, every time…

  15. SINF Extract Filter date

    We used to have a date filter option (on the previous CALPADS extract page)

    Extract Only Data Changes:
    Include any changes from the Date: _____ until now.

    The challenge we are facing is that the SINF file continues to grow. We have gone from 9000 records in mid-September to now 13,500 records. The file will only continue to grow as we progress through the year.

    The time to process files in CALPADS is correlated to their size (number of records). So, the file will take longer and longer to process as the school year progresses.

  16. CALPADS Data Audit - Race/Ethnicity Error Fixes

    On Student Data Audit for CALPADS, the Race & Ethnicity errors are triggering for students with a Z code in ETH (Decline to state) and ZZZ code in RC1 (Decline to state) even though the ZZZ code are is mapped to Decline To State on CALPADS XRF. Those should not trigger errors, only blank values should trigger errors. Also would like option to exclude warnings and just process Errors.

  17. Can we have a way of identifying the CSE.SWD field that gets downloaded from CALPADS in the SSID extract?

    Our district gets many permitted students with IEPs from other districts, but the parents do not inform us about this. I would like a way to know how many CSE records were updated with this indicator in a report or email when the SSID update from CALPADS is run

  18. Ability to extract specific programs when pulling the SPRG

    In Powerschool, you have the ability to specify which Programs (PGM) you want to extract when running the SPRG. This way, if you are fixing or adding a whole bunch of 192 records, you can pull a SPRG extract for only the 192 records. This will make the file smaller (nicer for CALPADS) and will allow us to be more concentrated in our data reconciliation. You shouldn't have to pull all programs all the time...It's unnecessary and can result in errors.

  19. Post-Secondary Survey - Push and Pull

    Automation: Please work on an automated system in which the PSTS survey questions could be administered/pushed out from within Aeries, a configuration that would identify the eligible students, send the questions/survey to the student's contacts/email, and in turn, would return those responses into the appropriate fields in Aeries "Add/Edit Post-Secondary Survey."

    Aeries definitely have the extract part down! This would be a great enhancement~

    TopsPro Enterprise/CASAS has a function built into their SIS that does all this for the end-user and it is really, really nice!

  20. Don't create PGM 181/182 Free/Reduced Record w/ Direct Cert import-PGM records in CALPADS end when stu exits, even if stu returns-DCs don't

    Aeries automatically creates program 181/182 records for all direct certification imports with the direct certification extract from CALPADS.

    CALPADS Fall 1 Report 1.17 counts Free & Reduced Meal Program 181/182 records, but also ends 181/182 program records if a student exits. Aeries, on the other hand, does not automatically end the 181/182 record that was created with the direct cert import process. If the student happens to return, CALPADS no longer counts the 181/182 program record, however, Aeries does.

    In other words, if a student exits the school CALPADS ends the 181/182 record based on the date the student exited,…
