SINF - ODS reconciliation - CALPADS extract
The 8.25.22 SENR ODS reconciliation extract process is pretty nice!
It would be nice if something similar could be done for the SINF. Right now we have to extract the full history of changes (8,000+ records as of right now for us) and this will only continue to grow.
Recent experience shows that even after the redesign, the larger the file .... THE LONGER CALPADS takes to process the file.

SINF Contact for Restricted Contacts
Can there be a way to pull a Restricted Contact (CON.CD) into the SINF extract for Parent/Guardian Name/Ed Level? Some parents are considered restricted but they still have ed rights and should be included with the SINF extract even if they are coded as R-Restricted.

SINF Extract Filter date
We used to have a date filter option (on the previous CALPADS extract page)
Extract Only Data Changes:
Include any changes from the Date: _____ until now.The challenge we are facing is that the SINF file continues to grow. We have gone from 9000 records in mid-September to now 13,500 records. The file will only continue to grow as we progress through the year.
The time to process files in CALPADS is correlated to their size (number of records). So, the file will take longer and longer to process as the school year progresses.

Auto create 113 CA Partnership Academy special program records based on Course Attendance
Currently, we have a SQL script that generates a 113 CA Partnership Academy special program record for all students with Course Attendance in specified courses. It would be nice to be able to do this within Aeries rather than relying on a SQL script.

Exclude record from SDEM flag for STF records
It would be ideal if there was a flag for excluding certain STF records from being pulled in SDEM files. We now have virtually all staff records in Aeries for ParentSquare, which we use for COVID daily screening, and we need a better way to exclude classified staff and sub teachers who have SEIDs. We have more of these than you might think, as many people got a SEID as a sub or they failed a credentialing program and now work in classified roles, like Instructional Assistants or Clerical staff. CALPADS Report Needed - Teacher Course Qualification Listing
In order to assist schools in properly assigning teachers to courses and section in a way that is compatible with state credentialing requirements, a new report in Aeries must be created to display Course (and maybe Section) information alongside staff information (including SEID). This report would mimic the CALPADS Fall 2 4.3 so that LEAs can get a jump on assignment monitoring.

CALPADS - Don't make auto close SENR enrollment E155 default
Can you make this setting have the ability to be save if unchecked. There are many reasons why I don't want the system to auto close an enrollment due to SINC, SIRS and SOFF files that won't post if uploaded against a close enrollment. It's a pain to try and remember to uncheck it every time I go in to the CALPADS extracts page.

Create Report options or functions to ensure that students are following the CALPADS FRPM Data Collection: Required Forms for Schools in 2022-23*changes are due to AB 130 (2021-22 budget trailer bill for education) California Universal Meals Program.
Districts are not allowed to lower the students eligibility during the 5 year cycle. Create options that move students into the next year's eligibility to ensure that the district is in compliance with the LCFF requirements as outlined in the attached form.

Add SELA ODS language to LAC table/Language Assessment page
Add a field to Language Assessment page (LAC table) for SELA ODS language, next to EAC and EAD, so that we could see the language in the SELA ODS file for those students that have a discrepancy in language. The biggest reason for this is those students that we have marked EO, but are not EO in CALPADS. Right now we have to lookup each student in CALPADS to find their language, even though it's in the SELA ODS extract.

Include Unaccompanied Youth Indicator in Residence Survey Audit Tool
The Residence Survey Audit Tool is incomplete. As it currently stands, it adds a whole bunch of 191 records that are missing a State Required Field (Unaccompanied Youth Indicator), thus resulting in fatal errors when sending up the SPRG. For this tool to be really effective and time-saving, the Unaccompanied Youth indicator needs to be included. Maybe auto-populate it as a N and then we can go in and change the the Ys? Or include an option for the person completing the Audit to indicate a Y or N for Unaccompanied Youth.

Calpads History Tab
Add a comment box and the option to not 'POST' under the Actions column on the new CALPADS History tab. There have been incidents where we didn't use 1 of the files. For example, forgetting to exclude secondary enrollments when pulling an SPRG file gave me an Exit SPRG that I could post since the student in the file is secondarily enrolled.
Defeats the purpose of keeping track when we are saying we posted something that we didn't.3 votes -
CALPADS STAS Issue With Charter School Option
CALPADS STAS Extract - If a single database has multiple CDS Codes used for reporting - When a virtual school houses students tagged with a Reporting Home School, and CALPADS Extract School Options are set to a specific school, the STAS file may include other student attendance data from CDS Codes that were not selected in the extract.

Ability to extract specific programs when pulling the SPRG
In Powerschool, you have the ability to specify which Programs (PGM) you want to extract when running the SPRG. This way, if you are fixing or adding a whole bunch of 192 records, you can pull a SPRG extract for only the 192 records. This will make the file smaller (nicer for CALPADS) and will allow us to be more concentrated in our data reconciliation. You shouldn't have to pull all programs all the time...It's unnecessary and can result in errors.

In Other Options in CALAPDS Extracts can we have a table or dropdown where we can select what Language Fluency (STU.LF) code(s) not to report to CALPADS? For example, we have a 'Waiting on **' code for students who are new to our district but not new to CA. This allows our ELPAC team to know they do not need to be Initially ELPAC tested and we are waiting to confirm ELAS. Update the auto-creation process for SPRG Code 185-TK program records to verify the grade level of the actual ENR records to determine the start date of the TK program record, if it changed after the beginning of the student's enrollment record that year. The SPRG TK record should start as of the first day of TK enrollment for the school year.

Post-Secondary Survey - Push and Pull
Automation: Please work on an automated system in which the PSTS survey questions could be administered/pushed out from within Aeries, a configuration that would identify the eligible students, send the questions/survey to the student's contacts/email, and in turn, would return those responses into the appropriate fields in Aeries "Add/Edit Post-Secondary Survey."
Aeries definitely have the extract part down! This would be a great enhancement~
TopsPro Enterprise/CASAS has a function built into their SIS that does all this for the end-user and it is really, really nice!

Calpads Extract - State Course Code TCH.CB vs Course when a teacher's class setting changes to self contained
It would be extremely helpful to allow the Calpads Extract to look at TCH.CB only when it is filled versus the Course - State Course Code Assigned. An example of when this is useful is the case when the school year has started and the classroom setting is forced to go into a self-contained setting vs departmentalized setting.
For Fall 2 reporting and assignment monitor, this would allow us to adjust the course code to reflect the staff setting. In turn, this would allow for us to cut down on our Calpads error reporting.

CALPADS Extracts sometimes do not recognize accent marks and instead will place a question mark where the letter was.

Don't create PGM 181/182 Free/Reduced Record w/ Direct Cert import-PGM records in CALPADS end when stu exits, even if stu returns-DCs don't
Aeries automatically creates program 181/182 records for all direct certification imports with the direct certification extract from CALPADS.
CALPADS Fall 1 Report 1.17 counts Free & Reduced Meal Program 181/182 records, but also ends 181/182 program records if a student exits. Aeries, on the other hand, does not automatically end the 181/182 record that was created with the direct cert import process. If the student happens to return, CALPADS no longer counts the 181/182 program record, however, Aeries does.
In other words, if a student exits the school CALPADS ends the 181/182 record based on the date the student exited,…
