    Enable the Virtualization of a section for more types of transcript entries - like you have for Dual Credit College Courses. Our Independent study courses are handled outside of Aeries - but need to be in Aeries for SCSC and CRSC extracts. Problems with the way things are: a) You don't pull transcript records to SCSC and CRSC when we hand enter to the transcript because there is no matching MST record. b) Adding all of those MST records is a lot of data entry, and clogs up the MST board. c) Using Alt Ed scheduling on a section by…

  3. Don't create PGM 181/182 Free/Reduced Record w/ Direct Cert import-PGM records in CALPADS end when stu exits, even if stu returns-DCs don't

    Aeries automatically creates program 181/182 records for all direct certification imports with the direct certification extract from CALPADS.

    CALPADS Fall 1 Report 1.17 counts Free & Reduced Meal Program 181/182 records, but also ends 181/182 program records if a student exits. Aeries, on the other hand, does not automatically end the 181/182 record that was created with the direct cert import process. If the student happens to return, CALPADS no longer counts the 181/182 program record, however, Aeries does.

  4. Calpads Extract - State Course Code TCH.CB vs Course when a teacher's class setting changes to self contained

    It would be extremely helpful to allow the Calpads Extract to look at TCH.CB only when it is filled versus the Course - State Course Code Assigned. An example of when this is useful is the case when the school year has started and the classroom setting is forced to go into a self-contained setting vs departmentalized setting.

    For Fall 2 reporting and assignment monitor, this would allow us to adjust the course code to reflect the staff setting. In turn, this would allow for us to cut down on our Calpads error reporting.

  6. Print Students With Disability Indicator Field report with SSID import

    Can the email generated when the SSID report is complete include a report of all STU.ID and STU.CID numbers, with a SWD indicator = "Y". We could then forward the report to our Pupil Services department so they can be aware of new students with IEP's

  7. Modify Internship page to hide prior year records, not inactive records.

    Because internships are now part of the WBLR extract that happens at the end of the year, many times they are being recorded after the internship has ended. Once the record is saved, it disappears from view, and the user thinks the record didn't save properly, so duplicate records are added.

    Also, it would be great if the Employer Evaluation field would be flagged when the WT=10 and there is no Evaluation score entered. Those records are rejected by CALPADS.

  8. Staff Audit Report

    To help with Fall 2 reporting, it would be helpful if we had a Staff Audit report in Aeries that HR staff at districts could run to check for errors in staff and teacher records. If it could look for Job Assignments that show as teachers and then look for students or sections assigned to that teacher. If it could look for non-classroom based job assignment and then make sure there are no kids or sections assigned to that person. Also if it could look for Staff records that have missing required CALPADS information such as SEID, FTE, End dates…

  9. CALPADS Data Audit - Race/Ethnicity Error Fixes

    On Student Data Audit for CALPADS, the Race & Ethnicity errors are triggering for students with a Z code in ETH (Decline to state) and ZZZ code in RC1 (Decline to state) even though the ZZZ code are is mapped to Decline To State on CALPADS XRF. Those should not trigger errors, only blank values should trigger errors. Also would like option to exclude warnings and just process Errors.

    Please add the Reporting Home Language as part of the SELA Import process. In auditing data we found it would be useful to have the SELA Conflict Report also compare the Reporting Home Language listed in CALPADS to what is in Aeries for testing purposes.

    When importing the DC file in the complete email could we have which students were updated not just a total updated? See below for sample of the email:

  12. CALPADS-N470-NoShow records should populate day before enrollment date, NOT day before school starts

    When I extract an SENR file - Extract all data this Year, students who have an SSID number AND are N470 extract in the file. When they are extracted Aeries changes their SWR/Leave date to one day prior to the first day of school according to the school calendar. However, when Aeries changes the enrollment date the SPED record no longer aligns with the enrollment date and it causes a problem every time.

    I will resolve this on my end by removing the SSID number for the student. This will prevent the record from being extracted.

  13. SINF - Contact Analysis Flowchart

    The current Contact Analysis Flowchart seems to hinder accurately reporting student demographics information to CALPADS.

    We would like step 1 to consider IF District Settings have any defined Guardian code(s).
    IF Guardian codes have been established, reported contacts should be limited to Contact records using those codes.
    IF a particular student does not have any contacts with a CON.CD matching one of the defined Guardian codes, then that student shouldn't have any contacts extracted due to not having the required information entered.

  14. Allow for a set of pre-defined Text Replacement statements to run against CALPADS file after every extract

    Many districts have special situations that require that they change data in files after the files are created before the data goes up to CALPADS. Having those "Replacement" statements saved in Aeries and automatically run would save a ton of time and make things more flexible. Each Replacement Statement should be able to be associated with specific files.

  16. CALPADS - Student Exit Code E150

    I am requesting for the CALPADS student exit code E150 (program/grade change) to be added to Aeries. Currently the internal 440 Aeries code is used because it also covers teacher changes in Elementary schools. Instead of the extract pulling the proper E150 code when the student has the program/grade change, it would be nice for users to be able to select the proper E150 when applicable. This would avoid confusion when E150 is referenced in CALPADS trainings or discussions because 440 is an Aeries internal code and should remain for teacher changes because it is not reported to CALPADS.

  17. CALPADS - School Selection by User instead of District-Wide

    When you have an Aeries district with multiple CDS codes, there are multiple people running the CALPADS extracts. The "Save" button changes the default selection for everyone! Every time an extract is run it changes the default schools for everyone else, and our CALPADS administrator has to deal with errors when they accidently leave a school checked that isn't theirs in the first place.

    Adjust the SPRG ODS Reconciliation process to create Delete records for programs that are in the CALPADS ODS but not in Aeries. Currently, the process only compares existing program records.

    Using Special Education information and credential information, create class lists with Primary and secondary disabilities for courses where instructional strategy = 700 (special education). This would be helpful for CALPADS assignment monitoring requirements.

  20. CALPADS - Extract Only School-Level Staff for SDEM/SASS for Charter Schools

    Our charter schools are part of our primary Aeries database for various operational reasons, and our district is responsible for reporting their data to CALPADS. However, they have to be reported separately to CALPADS for special education reasons, so we have to run separate extracts for them.

    Currently, when a user extracts SDEM and SASS files for any set of schools, district office records are included, under the assumption that the district-level records will be relevant. However, when uploading for a charter school, the district-level records aren't relevant, and the files are rejected by CALPADS. As a workaround, every time…
