Copy Grades to Transcript : Limiting Drop-Down Options
On the Copy Grades to Transcripts (HIS) page, we like the ability to inactivate or remove options from the drop-down menus for this page only.
We currently have campuses that may accidentally select the wrong HIS Term or Mark to Move to HIS. We would like to limit the possibility of these errors by removing options that are not needed from this page.
The reason we would like to limit these options are that the copy process takes detailed attention to ensure the correct titles are chosen; if incorrect data is pushed to the transcript, the correction process can be time-consuming and requires SQL to correct the data. We want to prevent these errors from occurring whenever possible to minimize the number of times the correction process is done.
The HIS Term and Mark to Move options on the Copy Grades to Transcripts (HIS) page are not a separate list owned by that page. They come from the school’s grade reporting term and mark setup, which the rest of grade reporting also uses, so there is no page level list to inactivate options from. Hiding values on this page only would mean adding a second layer of configuration that has to be kept in sync with the term setup every year. When the two fall out of sync, the setting meant to prevent errors can hide a term or mark a school actually needs, or leave an outdated one showing, which brings back the same risk of copying the wrong data to the transcript. The better ways to reduce these errors are to limit page access through Aeries security so only trained staff can run the copy, to make sure term and mark descriptions clearly name the reporting period they belong to, and to review the selections before running the process. For these reasons we will not be moving forward with this request.
