Income Survey on Parent Data Confirmation - Remove 1 from options for # in Household
"1" should not be an option in the Income Survey in PDC for the "How many people are in your household?" question. There should be at least one adult and one child in every household (2 is the minimum value). Some parents think the question is asking how many children in the household. (In the meantime, we will edit the wording in Portal Options to try to clarify).
1 voteWe are declining this idea because we need to allow emancipated students to complete this survey.

Parent Data Confirmation Residence Survey - Change the Wording of Unaccompanied Youth
Can the wording be changed from “I am a student under the age of 18…” to “The student is under the age of 18...”? Our District does not give Aeries Parent Portal access to students under the age of 18.
2 votesWe modeled the Residence Survey questions with the CDE Housing Questionnaire Survey. In order to accommodate all of our customers we need to use the CDE wording. Here is the link to the CDE Questionnaire information: https://www.cde.ca.gov/sp/hs/cy/documents/housingquestionnaire.pdf

Autopopulate Parent Email from Contacts Table
Autopopulate parent email from Contacts table into Student Demographics and add additional field for both parents
1 voteThe recommendation is to handle all parent emails in the Contacts table since our internal processes will be checking Contacts for this information for state reporting and third party integrations. For this reason the Student Demographics parent email field is due to be permanently removed.

Auto calculate US enrollment < 3 years Indicator
Have the "US Schl < 3 Yrs" indicator auto-calculate based on the "US School K-12" field.
4 votesAccording to CALPADS, the US School Enrollment < 3 years indicator calculates as a cumulative time, not consecutive. Therefore we cannot calculate this value from the Initial US School Enter Date.

Home language survey - Language Options
Add the ability for parents to select more than one language for each question. Our EL coordinator stated CDE allows parents to enter more than one language for each question on the survey. Because this is not a current feature in Online Enrollment we continue to collect Home Language Survey in paper form.
1 voteThe latest CDE-approved K012 Home Language Survey asks the parents to respond with one language for each question. See the form here: https://www.cde.ca.gov/ta/cr/elforms.asp
Therefore, we are declining this request.

CALPADS SENR0654E3 Error - Regarding student initial enrollment in us
When pulling a SINF record do not pull the Student Initial US school enrollment date for students with a language status of EO or IFEP.
These students are not required to have Initial US school start dates and entering them is causing a SENR0654E3 error in some cases.
1 voteAccording to CALPADS Update Flash 280, the validations for this error have been modified to only trigger on EL students. This idea is no longer necessary.

We are not accepting this request for the following reason: this may not work for all districts since not all districts update the School Enter Date annually where Attendance Enrollment Start Date is an annual date.

Parent Response to Survey Table (PRS)
The Parent Data Confirmation process is not working correctly when we confirm the Parent Response to Survey. We would find it very helpful to have the PRS table cleared out upon roll over to the new year. We have had an issue with confirming old parent responses and creating a new program record in this year when one was not warranted for the current year. We do not wish to see last year's parent responses in current year. Another question we have is, should the program even allow this to happen? If the date that the parent submitted the survey…
1 voteThis needs to be an individual decision by each District. Every year, a conversation happens with our Rollover team. At this meeting, you can request that this table NOT be rolled to the new year. They will document this request, and have you re-confirm it each year.

Default Online Enrollment Surveys to "NO" for Military Survey, Residency Survey, and Foster Survey
Allow a default answer of "No" for Military Survey, Residency Survey and Homeless survey so parents who do qualify would need to actively change the answer. Hopefully this will eliminate parents who click "Yes" erroneously.
5 votesDefaulting to "No" could also result in erroneous records. The current process of forcing the parents to select a "Yes" or a "No" is the best way to ensure the parent is providing the information.

CCGI Extracts - Add the Caseload Templates to the Extract
Add the optional Caseload and Caseload_Members templates to the CCGI Extract.
2 votesReceived following information: per CCGI, they don't want these two additional files anymore. This request can be deleted.

Mass Change All Day Code - Process is not honoring the MST.ADA field
The Mass Change All Day Code page is not honoring the Master Schedule ADA field with a value of N to Not Count in Mass Change (MST.ADA = N). Students are displaying when a section has the MST.ADA = N populated and should be excluded.
1 voteThe Mass Change All Day code form is working correctly. We recommend entering 0 for least number of absences instead of entering a number. The MST.ADA = N means don't count a "present" in this class towards the "N or more" count in Mass Change. If the student is absent for 5 out of 6 classes, but the 6th class is MST.ADA = N, then they will count as absent for all 6 classes on the Mass Change All Day Code page.

CALPADS no longer allow special characters in Contacts
CALPADS SINF is pulling parent contact names causing an Invalid Character error.
15 votesThis is a CALPADS bug on their end. They DO intend to allow these special characters again, so we will not be changing our process at this time. If the
SINF update is needed, the customer either needs to make it manually in OM, or remove the offending characters from Aeries, but ALSO delete the CALPADS log entries for that change (the ones that contain the offending characters) so they won't be extracted also.

We would like a report option to print transcripts with the students immunization record on the reverse side of the page.
We would like the option to print transcripts with the immunization record on the reverse side of the page. This would help with student records retention. The transcript and immunization record are permanent records, required to be kept indefinitely. Many schools are running out of space to store these records. If the two could be combined front to back it would save on storage space.
2 votesAeries allows for immunizations to be included on the transcript. This can be set up on the Transcript Definition > Things to Print tab. If you are using the 3-column transcript there are some limitations to how much can be printed in the the Things to Print area, you may want to look into using the Enhanced 1-column transcript.
Here is some documentation:
Things to Print: https://support.aeries.com/support/solutions/articles/14000071847-transcript-definition-form
Enhanced 1 column: https://support.aeries.com/support/solutions/articles/14000114428-transcript-design-options-enhanced-1-column-style

Courses
Add the ability to assign CA specific settings at the course level instead of section level. Such as Local Assignment Options and Instructional Strategy.
1 voteIn some districts these fields could be unique between different schools therefore they are only available at the Master Schedule Section level.

CALPADS Extract Pull From LSI.GN
Can we please have the extract pull from the LSI.GN field if the student has data populated in that field? It makes sense to extract from that field, particularly since if the LIS.LLN and LSI.LFN is populated that data gets extracted. We have a student (and surely more to come) that identify as a different gender. Populating the STU.GN with the students preferred gender is causing CALPADS fatal errors.
30 votesThe definition for Student Gender in CALPADS CSF document is posted below. Therefore, until that guidance is changed by CALPADS, we will continue to pull from the Preferred Gender field (STU.GN):
SINF Field 2.19: Student Gender Code - A coded value representing the person's gender. Gender is a person's actual sex or perceived sex and includes a person's perceived identity, appearance or behavior, whether or not that identity, appearance, or behavior is different from that traditionally associated with a person's sex at birth.
The code values reported are: M, F or X.

PFT - Physical Fitness Testing - Update Pass/Fail (without the submission) to confirm with PFT requirement to notify Parents of results
Starting with the 21-22 results, PFT requires that parents receive their students' PFT - Physical Fitness Testing results. As such, can Aeries still provide a way to automatically update Pass/Fail without the submission information? (CDE PFT meeting 1/25/2023)
1 votePer the PFT Webinar on January 25th, 2023. According to CDE the LEAs are not required to send the PFT pass/not pass results or "Healthy Fitness Zones" to the parents. They do, however, need to report the raw scores to the students. The CDE said it would be an LEA's local decision to report the PFT scores to the parents. (also see item 6 under PFT Data in the CDE's Physical Fitness FAQ page
https://www.cde.ca.gov/ta/tg/pf/pft11fasqa.asp)
The Fitnessgram uses proprietary calculations for the VO2max and the Healthy Fitness Zones. As such, Aeries cannot calculate the pass/not passed statuses for the individual test parts. LEA staff, however, are able to hand enter the pass/not pass test statuses for each student or run mass change queries on the PFT data to set the statuses.
In testing administrations prior to COVID the PFT data would be exported from Aeries and uploaded into the…

Parent Weekly Grade Update in Parent Square
In Parent Square, allow parents to sign up for Weekly Grade notification. Currently offered in Portal, but parents cannot do this inside of app. Why do they need to go to 2 platforms?
1 voteHi Ali, Unfortunately, we won't be able to accept this request to allow users to control the weekly progress report emails through ParentSquare. Our integration with ParentSquare is not set up to handle this type of action. ParentSquare primarily serves as a communication platform, and facilitates that communication to various parties over a variety of configurable communication types, but ParentSquare never dictates what information comes out of Aeries.

Copy teacher record from one site to another
Would be really helpful to be able to copy a teacher record from one site to another.
1 voteWith our focus on having a model where individual teacher records are not duplicated at each school, we will be declining this idea at this time. Thank you for your feedback!

Flag/Pop-up when Email in Contacts and Parent Portal don't match.
Trying to work on Data Validations and Email Addresses. A secretary wanted to know why Aeries doesn't have a pop-up or something if the parent creates a Portal Account with a different email address than what is in Contacts. And, vice versa, if someone adds or changes an email address in Contacts, why doesn't it say Doesn't Match Portal Account email, or something like that. Specifically if the Contacts page is set to Yes for Parent Portal. Geez, I hope that makes sense.
Thank you!!!11 votesThe new security model will prevent having separate email addresses for the User account and the Contact record

Display Student ID in Gradebook
There is a new feature that allows the display of the Student ID directly in the gradebook. It would be helpful to allow the option of showing the “Student Number” instead.
3 votesThe Aeries Student ID number is unique to each student, and generally never changes. In the spirit of eliminating the student number throughout Aeries, which does change over time, we have decided to decline this request. It is still open for voting and comments and we will review in the future based on feedback received.
