Enable the use of alpha characters in Section ID - MST.SE
Our middle school has courses with duplicate sections in which teachers alternate cohorts of students for the same course; one section meets Mon/Wed and one meets Tue/Fri. When the teacher is posting to ParentSquare, there is no way to distinguish between the two cohorts except by section number, but the numbers have no obvious meaning (see screenshot). It would be so helpful if we could have alpha characters in the section ID, for example 61MW. Then the teacher could see at a glance which section to which s/he is posting.

Graduation Status Letter - ability to email from Aeries
Right now, the letter can only be printed and mailed home which often gets intercepted. Our Counselors would like to be able to email it to parents and/or have the letter attached to the student and be viewable in the Parent Portal for parents to see.

At this time, we are not moving forward with the ability to email letters directly or make them available within the Parent Portal. While we understand the importance of ensuring timely and secure communication, this functionality falls outside the current design and scope.
As an alternative, many districts have successfully used Mail Merge through Microsoft or similar tools to generate and distribute communications. Additionally, if you are using Aeries Communications/Parent Square, you may want to consider reaching out to ParentSquare regarding their add-on features, which can support sending documents directly to parents in a more streamlined and trackable way.

Course Articulation - additional criteria
Please add a field to define a required final exam grade minimum in addition to meeting the required minimum semester grades. example: our articulated course agreements require a B or better in both semesters AND an exam grade of B or better.
OR provide a Yes / No qualifying check box for the student in the transcript maybe with a pop up window - "this is an articulated course, does this student meet all criteria?" which will then trigger the articulated note printing on the transcript or not.1 voteThank you for your detailed enhancement request and for outlining the requirements around articulated course criteria.
After careful review, we are not moving forward with this request at this time. While we understand the need to capture additional qualifying factors—such as a minimum final exam grade—the proposed approaches introduce a level of complexity that would be difficult to maintain effectively.
For example, adding a checkbox or manual qualifier on the transcript would require consistent data entry and oversight, potentially across multiple roles. Additionally, a single indicator would not fully support the range of criteria involved and could lead to further requests for expanded functionality (such as reason codes or multiple condition tracking), making the solution increasingly complex and difficult to manage.
At this time, we recommend continuing to manage articulated course requirements through existing processes and local procedures to ensure accuracy and consistency.

Create a Next PDC tool so PDC can be set up in the current database
Having the option to set up next year's PDC in the current database would help to distribute the heavy load of tasks that fall in the short time between rolling over the database and opening up PDC.

At this time, we’re unable to support the ability to configure next year’s PDC within the current database. We understand the desire to better distribute tasks and reduce the workload during the transition period.
As a recommended best practice, we suggest closing the PDC window with sufficient time for staff to complete any necessary updates and adjustments prior to the summer break. This approach helps ensure a smoother rollover process and minimizes time constraints.

Correct the need for a teacher to overide NA in grading when start date was changed by the system bc student was going in and out of special programs during school year.

The requirement for a user to actively select the option to override the “Not Applicable (NA)” value is intentionally designed to help prevent unintended or incorrect data entry. This extra step helps ensure data accuracy and integrity within the system.
We understand this may add an additional step to the process, and we appreciate your understanding as we work to maintain reliable data standards.

TB Risk Assessment Feature Request
Problem Statement
The current Immunization tracking page lacks the specific data validation and fields required to maintain compliance with Los Angeles County's Pediatric TB Risk Assessment (TBRA) mandate for all students newly enrolled with the school district. Currently, free-text entry in result fields leads to inconsistent, non-queryable data, there is no space for appropriate testing'/results, and the TBRA workflow is entirely missing.

Create new Free & Reduced Field
If the idea for a new Free and Reduced Management Page is not in the near future. Could Aeries at least add new fields in the current Free & Reduced page to help track student status for EDCS submissions (SUN Bucks). The fields I am requesting is to track the student base on the following status which are asked in the EDCS template:

After careful review, we are unable to accommodate the addition of these fields to the current Free & Reduced page at this time.
However, we do want to share that the EDCS extract we have already built addresses this need directly. The extract dynamically calculates these dates based on the selected school year by analyzing the Eligibility Start Date (FRE.ESD) field. Students with an Eligibility Start Date between 07/01 of the current year through 08/31 of the following year are included in the extract.

Alternative Ed Schools need the Transcript Date Completed field (HIS.DC) Automatically populated when Issue Credit and Copy to Transcript
The Issue Credit and Copy to Transcript options need to automatically populate the Transcript Date Completed (HIS.DC) field with the Course Attendance Stop Date (CAR.DE) for accurate Texas State Reporting.
2 votesThis is working as designed. Only courses manually entered on the Transcript have the Date of Completion entered. All other courses for Texas State Reporting use the Course Attendance Stop Date as the Date of Completion.

Changing Teacher Room Numbers
Changing room numbers for teachers is unbelievably time-burdensome.
Changing room numbers on the Teacher Data page should change the default teacher room number on all of their associated sections on the Master Schedule page for efficiency.
This should be a field that can be overwritten on the Master Schedule page for teachers who are in more than one classroom.

The current functionality is intentional, as teachers do not always remain in the same classroom throughout the day. This flexibility ensures schedules remain accurate across different periods and locations.

don't have start date default to first day of school
We ran a Authorizations Report and we were trying to identify students who has denied photo release. The Date filter automatically defaulted to the first day of school, however, many families provided answers to Authorizations during Data Confirmation window before school began and the Authorizations report was dated prior to the first day of school. Because of this, when the report was run, the resulting data excluded all those records created during the data confirmation window before school started. Could we not have the start date default to the first day of school bur rather blank so the user can…
1 voteWe understand how the default start date on the Authorizations Report can result in excluded records if the date range isn’t adjusted. At this time, we do not plan to change the default start date. Leaving the date blank could create more confusion for users, while the current default (first day of school) provides helpful guidance. This is best addressed through training rather than a system change. We recommend reinforcing the importance of reviewing and adjusting report date filters as part of staff training and reporting best practices.

Separate buttons for CRSE/SCSE in Fall 2 and for SDEM, CRSC, SCSC in EOY
Please add separate buttons for CRSE and SCSE in the Fall 2 tab of the CALPADS Extracts page. Our SCSE had 137788 records this year. It takes way too long to run, when all I need is a CRSE and SCSE runs first. It also bogs down the system, and I'd rather only run SCSE when I need to, instead of every time I'm just updating CRSE (which happens quite a bit towards the end of Fall 2 when I'm just updating section settings, but not class rosters/CAR).
Likewise, EOY should have 3 separate buttons for SDEM, CRSC, and SCSC…
1 voteThank you for the enhancement request. At this time, we will not be moving forward with separating the CRSE and SCSE buttons for Fall 2 or the SDEM, CRSC, and SCSC buttons for End‑of‑Year. These files are intentionally grouped because their extract processes are functionally dependent on one another. Running them together helps prevent data mismatches, validation errors, and submission issues within CALPADS.
Maintaining this grouped process ensures data consistency and supports accurate reporting, so the current design will remain in place.

Document scanner for manipulation of address or other demographic information, maybe AI
With AI being so prevalent, families are finding it easy to "doctor" residency documents in order to lie about where they live and attend any school of their choosing. It would be great if Aeries incorporated some sort of document scanning AI to flag possibly manipulated documents to help sites ensure students are attending their school of residency. Thank you.
1 voteWhile we understand the challenges around residency verification, determining document authenticity or potential fraud is outside the scope of the Student Information System. Aeries is designed to serve as a system of record, not an investigative or enforcement tool, and incorporating AI‑based fraud detection would introduce concerns related to liability, equity, and privacy. For these reasons, residency verification must remain a local administrative responsibility.

In Courses, keep record of historical changes.
With courses sometimes changing titles, codes or credits, it would be helpful to see the historical record of course changes within one course record, so a new course does not have to be created every time there is a change. New courses could be linked to the previous version.

We will not be moving forward with this enhancement, as Aeries follows CCGI, UC Doorways Program, and CALPADS guidance, which recommend creating a new Course record whenever course titles, codes, or credits change. Maintaining separate Course records preserves data integrity, ensures accurate reporting, and protects historical accuracy.

When mass adding hearing and vision data, it would be nice to be able to add initials as well.
When mass adding hearing and vision data, it leaves the initials field blank next to the data which then our nurse has to go into each student record and add them manually.

Tracking days attended after an absence
Our district is looking for Aeries to create a way to track days attended after an absence. After attending many meetings regarding attendance improvement, a recommendation every time, is to acknowledge improved attendance. We need a mechanism to find which students are improving. By how much? Can we tie that to a particular intervention...etc. You get the idea! Aeries, can you help us districts out? The research is clear that rewarding or at the very least, acknowledging, improved attendance goes a LONG way in increasing ADA and helping families develop good habits.

Districts can leverage Aeries Expansion Queries to analyze attendance patterns, track changes over time, and identify students demonstrating improved attendance based on locally defined criteria.

Parent Portal Assignments with Attendance
parent portal. It would be nice if it listed the attendance status on the date assignment was assigned or due.

Attendance information is available in the Student Portal under the Attendance tab, which provides the most accurate and comprehensive view of a student’s attendance record.

Parent Data Confirmation and Medical Insurance Revision/Update
This feature needs some improvements in Parent Data Confirmation...Suggestions:
Enhance Parent viewing- default to see existing Active records automatically without having to filter for "ALL" records. The current format will not show the record if the parent left effective date data blank and then the parent will add a new record. We have had parents do this multiple times rather than editing existing records.
1 voteThe Effective Date is a required field for Medical Insurance (MII) table. The table assesses the Effective Date and End Date (if populated) to determine which records are "Active" and display by default. If you have old records that do not have an effective date, you have several options to deal with them. Some districts just delete the records and ask the parents to put them in again, since they are only effective for a year, anyway. Some may choose to mass add an effective date for all records. It is up to what would work best for your district. Support can help you with queries to make mass changes.
