Document scanner for manipulation of address or other demographic information, maybe AI
With AI being so prevalent, families are finding it easy to "doctor" residency documents in order to lie about where they live and attend any school of their choosing. It would be great if Aeries incorporated some sort of document scanning AI to flag possibly manipulated documents to help sites ensure students are attending their school of residency. Thank you.
1 voteWhile we understand the challenges around residency verification, determining document authenticity or potential fraud is outside the scope of the Student Information System. Aeries is designed to serve as a system of record, not an investigative or enforcement tool, and incorporating AI‑based fraud detection would introduce concerns related to liability, equity, and privacy. For these reasons, residency verification must remain a local administrative responsibility.

When mass adding hearing and vision data, it would be nice to be able to add initials as well.
When mass adding hearing and vision data, it leaves the initials field blank next to the data which then our nurse has to go into each student record and add them manually.

Alternative Ed Schools need the Transcript Date Completed field (HIS.DC) Automatically populated when Issue Credit and Copy to Transcript
The Issue Credit and Copy to Transcript options need to automatically populate the Transcript Date Completed (HIS.DC) field with the Course Attendance Stop Date (CAR.DE) for accurate Texas State Reporting.
2 votesThis is working as designed. Only courses manually entered on the Transcript have the Date of Completion entered. All other courses for Texas State Reporting use the Course Attendance Stop Date as the Date of Completion.

Parent Data Confirmation and Medical Insurance Revision/Update
This feature needs some improvements in Parent Data Confirmation...Suggestions:
Enhance Parent viewing- default to see existing Active records automatically without having to filter for "ALL" records. The current format will not show the record if the parent left effective date data blank and then the parent will add a new record. We have had parents do this multiple times rather than editing existing records.
1 voteThe Effective Date is a required field for Medical Insurance (MII) table. The table assesses the Effective Date and End Date (if populated) to determine which records are "Active" and display by default. If you have old records that do not have an effective date, you have several options to deal with them. Some districts just delete the records and ask the parents to put them in again, since they are only effective for a year, anyway. Some may choose to mass add an effective date for all records. It is up to what would work best for your district. Support can help you with queries to make mass changes.

Allow Teacher Type to access Gain and Loss Report
Teachers that need to view all students and have an assignment with Teacher Specific should be able to view the gains and loss report. We have staff that need to view all students and have an account of all new enrollments and exits, i.e. EL Support, Yearbook teacher, Migrant recruiter, Student photo coordinator, etc. Currently the only page is the Student Directory that is available, unfortunately at this time the report is not working correctly and displays multiple copies of one student data. 1 voteThe Teacher Type user is automatically limited to students they have a class relationship with. That is by design, and limits the accessibility of Personally Identifiable Information (PII) as required by both state and federal statutes. If you have a user that needs access to that type of info, you should give them a separate User account, and lock it down to only be able to see specific data.

Import data to FRE - Populate FRE.CD with import of household number and income
When manually populating FRE.NO (household size) and FRE.YR (income) in FRE their is form logic that then auto-calculates and populates FRE.CD. But when we import this same data via Import Data to Aeries the form logic does not execute, and FRE.CD remains blank. The request is to adjust Aeries logic to have FRE.CD auto-calculate and populate based on imported data the same as it does for manually entered data into FRE.
1 voteThe ability to have the form logic process during import is the reason why we have the separate FRE Import process. Since this generalized Import Data to Aeries lacks that ability and there are no plans to update that feature to add additional processing logic, we are declining this idea.

Additional gradebook code for assignments
Can you add an additional gradebook code similar to TX or NA that means the assignment is missing but cannot be made up, and changes the color from red to something else.

CCGI- Honor the repeat tags
Currently the CCGI course gradet template does not pull in the repeat tags on the student's transcript it includes the repeated courses in the extract. If we can add the repeat tags to the course grade template, then we can filter out the repeat tagged courses so they will not be uploaded to CCGI. Currently our gpa's will never match since the repeat tags do not count toward the GPA in Aeries.
4 votesThank you for the suggestion. We’ve confirmed with CCGI that Aeries is expected to send all courses, including repeated courses, as the UC application requires full course history. Because of this requirement, repeated courses cannot be excluded from the CCGI extract.
The Course Grade Template layout is defined by CCGI, and Aeries is limited to the fields they currently support. At this time, CCGI does not provide a field for repeat tags. If CCGI adds support for repeated course indicators in the future, Aeries would be able to include that data in the extract.

Can we have an original Aeries look choice, like Windows did (i.e. Windows classic vs the new look).

In order to track progression over time of a student's mastery of a standard, you need to have multiple assignments associated with that standard. This will show the incremental progress.

scale just summative or just formative
Gradebook options you have, Apply weighting to Formative & Summative assignments- would like to have weighting to formative and summative to be separate, not grouped. You have this for Scale Min/Max Assignment Values in Total Grade—the same idea just for formative and summative.
1 voteThe Apply weighting to Formative & Summative Assignments is used to indicate when more emphasis is desired to be placed on Formative assignments vs. Summative. There are only two types of assignments in this case - Formative and Summative. The weighting between these must equal out to 100%.

Access to "Copy Grades to Transcript" page with read only access to HIS table
Currently you need to have insert access to transcripts to be able to copy grades to transcripts. We need the ability to have clerks who deal with grading run this copy grade to transcript function while only having read only access to HIS. Specially since it's listed under the grade reporting dashboard, there should be a separate permission to allow use of this function that is separate from the permissions to the HIS table.
1 voteThank you for sharing your idea! Unfortunately, this request falls outside our security best practices, so we are unable to move forward with it. Read-only users are limited to viewing data and cannot perform actions that write to a table. If certain users need to run this process, they will require the appropriate access in HIS.
If temporary access is needed, your district can assign an Expiration Date to the permission at the individual or group level in security settings.

Income Survey on Parent Data Confirmation - Remove 1 from options for # in Household
"1" should not be an option in the Income Survey in PDC for the "How many people are in your household?" question. There should be at least one adult and one child in every household (2 is the minimum value). Some parents think the question is asking how many children in the household. (In the meantime, we will edit the wording in Portal Options to try to clarify).

CALPADS CRSC/CRSE - Adjust to no Longer Extract Code 23 - College Credit Only
Adjust the extracts to exclude code 23 – College Credit Only.
3 votesAfter more correspondence with CDE it has been determined that College Course Level code 23 needs to remain available in Aeries. LEAs will need to be sure they are populating it correctly. College-level courses are those where the LEA/school has courses open for students to enroll in. This is not when a student takes a college course independently on their own that has no association or oversight with the school/LEA.
We are no longer purusing this change. The idea will be closed.

Autopopulate Parent Email from Contacts Table
Autopopulate parent email from Contacts table into Student Demographics and add additional field for both parents
1 voteThe recommendation is to handle all parent emails in the Contacts table since our internal processes will be checking Contacts for this information for state reporting and third party integrations. For this reason the Student Demographics parent email field is due to be permanently removed.

Allowing Authorized staff members to reset Multifactor authentication
We use active directory for most logins so we don't need to reset passwords but it would be nice to give our site techs permission to reset staff multifactor authentications without them having to be Aeries admins. I don't want to give them ALL the power in Aeries, just the ability to take that off of our (the admins) plate.

Home language survey - Language Options
Add the ability for parents to select more than one language for each question. Our EL coordinator stated CDE allows parents to enter more than one language for each question on the survey. Because this is not a current feature in Online Enrollment we continue to collect Home Language Survey in paper form.

Parent Data Confirmation Residence Survey - Change the Wording of Unaccompanied Youth
Can the wording be changed from “I am a student under the age of 18…” to “The student is under the age of 18...”? Our District does not give Aeries Parent Portal access to students under the age of 18.
