  2. SSID MATCH TOOL PROCESS DOWNLOAD FILE NEEDS ADJUSTING TO ALIGN WITH CALPADS 23-24 changes

    The logic in the SSID Match process is using the SENR layout when the file is produced which needs to be updated to align with the CALPADS 23-24 rollover changes that went into effect on 9/19/2023. The file being produced needs an additional column added to accommodate the STU.GEX field.

  3. Online Enrollment - Home Language Survey Report-CA

    We would like to know if the student IDs and DoB can be added to the pre-built Home Language Survey report, not a query, either by Aeries or by end users.

    Please adjust the state-defined reports to include Stu ID and Birthdate
    Also modify footer to "Based on: "...the state reports (CA and TX)

    • Reports > Home Language Survey - The report now includes the Student ID and Birthdate, ensuring students can be easily identified.

    Hello, this idea has been completed in the 05/21/2024 update. Here are the Revision Notes:


    School Info > Imports and Exports > Import Test Results

    • For the STAAR EOC test, the EL Performance Measure field (TST.ELP) was added according to the 2023-2024 file layout.


    Student Data > Test Scores > Test Scores - For the STAAR EOC test, the EL Perf Level field (TST.ELP) was added allowing schools to maintain English Learner Performance Measure data according to the 2023-2024 file layout.


    Test Scores (TST) - Added new EL Performance Level (ELP) field.

    Hello, this idea (or bug) has been completed in the 5/21/2024 update. Here are the Revision Notes:


    Student Data > Guidance > Victims - The Gender Identity field (VIC.BG) was added to the Victims table and is displayed under Basis of Harassment. The field can be used to track students who are victims of gender identity harassment and will be used in the future for the 2023-2024 Civil Rights Data Collection (CRDC) submission.

    Hello, the idea (or bug) has been completed in the 7/30/24 update. Here are the Revision Notes:

  9. LTEL Import Process Changes

    The Long-Term English Learner (LTEL) file from the California Department of Education has changed as of May 12th, 2023 The file is unable to be processed in Aeries in the CALPADS Extracts - LTEL Import function.
    It appears that the layout did not change but the Status code in the file for field 8 has changed for At Risk students.

    Previously the code was "AtRisk", in the new files the code is "AR-LTEL".
    Programming will be updating the LTEL Import process to support the new At Risk code.

  10. Parent Portal - View All RCH Records

    Student portal accounts have access to all years of Report Card History records, but parent portal accounts can access only the current year. Can this be changed, please, so that parents also have access to all years of their students' RCH?

    Hello, the idea has been completed in the 10/19/2023 update.  Here are the Revision Notes:


    CALPADS Extracts - For CALPADS administrators, on the code translations tab, the CON.ELV values can now be selected in the dropdown under the CALPADS column when adding or editing a record for a custom code. Only custom codes need to be translated for CON.ELV.

  14. Standards Based Grades - Load Grades From Gradebook Does Not Include Extra Credit Points in Standards Grade Calculation

    The Standards Based Grades > Load Grades from Gradebook calculation does not take Extra Credit Points into account in the following circumstance:
    - Elementary teacher in a school that uses Standards Based Grades
    - Gradebook is Non-rubric
    - Gradebook Assignments are associated with a standard
    - Gradebook has one or more Extra Credit assignments
    - Gradebook Options > Scale/Min/Max Assignment Values in Total Grade is checked and set up

    Hello, the idea (or bug) has been completed in the 11/12/24 update. Here are the Revision Notes:


    • Grades > Standards Based Grades - When using the Load Grades from Gradebook feature, any extra credit assignments with 0 max points were omitted from the  overall calculation. The Load Grades from Gradebook process now includes extra credit in the calculation even if the max points is 0.

    School Info > Imports and Exports > Import Test Results - The Select the test/layout... field dropdown list was updated to reflect the latest testing administrations for College Entrance Tests, ensuring the latest layouts can be imported. The email message delivered to the user was also updated to reflect the latest school year. See Overview for Import Test Results. Testing layouts include:

    • AP - Test Results - SY:2016/17 - 2023/24
    • ACT - Test Results - SY:2020/21 - 2022/23
    • PreACT - Test Results  - SY:2021/22 - 2022/23
    • PSAT10 - Test Results -  SY:2019/20 - 2023/24
    • PSAT8/9 - Test Results - SY:2019/20 - 2023/24

  16. CALPADS adjustments needed in schools using Alt Ed sections for SCSE/SCSC and CRSE/CRSC extracts

    In a school where "Allow Individual Sections to be Flagged for Alt Ed Scheduling" is enabled in School Options, and the "Alt Ed Sched" (MST.AE) in the Master Schedule page is selected, add a prefix to the virtual Course section ID number in the SCSE/C and CRSE/C extracts to properly identify the Section number as a unique, virtualized number.

    Hello, this idea (or bug) has been completed in the 02/29/2024 update. Here are the Revision Notes:


    School Info > Exports and Imports > CALPADS Extracts - For schools using the School Setting "Allow Individual Sections to be Flagged for Alt Ed Scheduling", when CRSE/SCSE or CRSC/SCSC extracts are generated from the Fall 2 and EOY tab, now any Alt Ed course will include a V at the beginning of the virtualized number under Course Section ID column in order to prevent using a number that may already exist for an actual section.

  17. CRDC - Update Algebra I Passed Logic to Only Check if the Student Passed the Course in the Administration Year

    The Algebra I Passed counts should be based solely on the Algebra I classes taken during the administration year and the grades received during the administration year. Any prior year achievement, or lack thereof, in Algebra I classes should have no effect on the Algebra I Passed counts.

    Hello, a fix for this issue was released on 06/18/2024. Here are the relevant revision notes:

    Student Data > Programs > Special Education - The Test Participation codes (CSE.PA2, CSE.PA3, and CSE.PA4) were updated according to CALPADS changes. Certain codes are now labeled as NO LONGER IN USE.

  19. CCGI Extract - Should Not Include Del-Tagged STU in the CCGI CourseGradeTemplate

    When the below conditions are met, the CourseGradeTemplate file could include duplicate transcript records for the student:
    -- STU.GR >=6
    -- Both records have Parental Consent
    -- Two STU records in different schools with the same perm id
    -- One record is del-tagged, the other is not
    -- The two STU records have different values in STU.CID (one CID can be a blank)

    Hello, a fix for this issue was released on 5/7/2024. Here are the relevant revision notes:

    • School Info > Imports and Exports > CCGI Extract - The CourseGradeTemplate file included records that were tagged for deletion which caused transcript information to be duplicated in the file. The CourseGradeTemplate file now excludes any records tagged for deletion. See Overview for CCGI.

    Hello, a fix for this issue was released on 08/13/24. Here are the relevant revision notes: 

    • Aeries Navigation Menu - The Pages, Reports, and Favorites tabs did provide a visual indicator for the selected tab. The selected tab is now shaded a different color to indicate that it is selected.
