Enhance EDCS Extract Logic to Filter by Eligibility Code (F/R)
Update the EDCS extract logic to include an additional validation layer. Currently, records are extracted when FRE.SRC is mapped in XRF to identify source codes that will be used for extracting students and FRE.ESD (Eligibility Start Date) is populated.
Enhance this logic to also require that FRE.CD (Eligibility Code) is translated via CALPADS Code Translations to values 'F' or 'R' only.
As a result, only students meeting all three criteria will be included:
Valid FRE.SRC mapping in XRF
Populated FRE.ESD
FRE.CD mapped to CALPADS 'F' or 'R'18 votesHello, this work item has been completed and was released on 5/26/26. Here are the relevant revision notes:

Dental Record (DNT) — Untreated Decay and Caries Experience field labels are swapped in Query Builder, Database Definitions, and Update Code
When viewing DNT data in Query Builder, the column labeled "Untreated Decay" displays values that were entered as Caries Experience, and the column labeled "Caries Experience" displays values entered as Untreated Decay — the opposite of what was typed into the Dental form. The same reversed labels appear in Database Definitions and the Update Code Table field dropdown for the DNT table. The Dental data entry form and printed Student Dental Record display correctly, but the mismatch in Query Builder and related tools makes it difficult to trust query output or verify data for the DNT.VF and DNT.VC fields. We…

Enhance LEAP File Logic to Include 194 PGM Records Prior to School Start
Enhance the LEAP file to extract valid 194 PGM records for programs that occur before the official start of the school year. Many districts run funded summer programs, such as ELOP, that end prior to the first day of school and should be included in LEAP reporting.
22 votesHello, this work item has been completed and was released on 5/12/26. Here are the relevant revision notes:
CALPADS Extracts > EOY > LEAP Extract:
- The Update ELOP Calculation process could create duplicate PGM-194 records because existing current-year records were not checked before new ones were added. The process now checks for an existing current-year PGM-194 record before creating a new one, preventing duplicates from being generated.
- ELOP Days were calculated without filtering by academic year, potentially updating prior-year records. The process now only populates ELOP Days for PGM-194 records active in the current academic year, bypassing prior-year records.
- Each time the extract button was clicked, the Suggested Date would reset to the first day of school regardless of the date that had been entered. The Suggested Date now retains the entered date when the button is clicked.
- The LEAP extract was skipping PGM-194 records that started on or after…

Test Score Imports: Add support for 2025–26 Summative ELPAC / Summative Alternate ELPAC Student Data File Layout
What is happening now
The Aeries ELPAC importer supports layouts through 2024–25 (ELPAC25) but does not yet support the newly published 2025–26 file layout, which includes added, removed, and renamed fields.
Why this matters to the user
When 2025–26 Summative ELPAC score files are released by CAASPP, customers will not be able to import them successfully using the current importer.
Impact if unchanged
Districts will be unable to import 2025–26 ELPAC scores into Aeries until the new layout is supported, delaying access to student proficiency data following score release.92 votesHello, this work item has been completed and was released on 5/19/26. Here are the relevant revision notes:

Keep Over‑Recovered Students Visible in Attendance Recovery Bank
Currently, when a student recovers more attendance minutes or absences than they are eligible for, their record can disappear from the Attendance Recovery Bank (ARB). This makes it difficult for schools and districts to identify and correct attendance recovery issues.
This idea proposes keeping all students visible on the ARB page, even when Total Attendance Minutes Available (TMA) or Total Recoverable Absences Available (TAA) become negative. Negative values would be clearly highlighted in red and explained with tooltips, helping administrators quickly spot over-recovery situations, understand why they occurred, and take corrective action without losing visibility into the student’s data.
8 votesHello, this work item has been completed and was released on 5/19/26. Here are the relevant revision notes:
Attendance > Attendance Recovery Bank - Students whose Total Minutes Available (TMA) or Recoverable Absences Available (TAA) computed to a negative number were excluded from the Attendance Recovery Bank, preventing administrators from identifying students with over-recovered absences. The Attendance Recovery Bank now displays all students including those with negative TMA or TAA values, which render in red with a minus sign to indicate that the student has utilized more minutes than they earned; the TMA and TAA column headers include tooltips directing administrators to review ATT records and verify ADA make-up codes in District Settings. See Attendance Recovery & Supplemental Attendance.

Limit Attendance Recovery Bank Calculations to District‑Selected ADA Make‑Up Codes
Enhance the Attendance Recovery Bank so that the Total Absences Recovered only include the ADA Make‑Up Codes explicitly selected in District Settings for Attendance Recovery.
Currently, the Attendance Recovery Bank counts all ADA make‑up codes found on attendance records, even when only specific codes (such as the district’s designated Attendance Recovery code) are selected. This enhancement would align AR Bank calculations with district configuration, improve accuracy, and prevent unintended codes (such as Saturday School ADA make‑up codes) from impacting Attendance Recovery totals.5 votesHello, this work item has been completed and was released on 4/20/26. Here are the relevant revision notes:
Supplemental Attendance > Attendance Recovery Bank: Multiple enhancements have been made to the Attendance Recovery Bank (ARB) page.
- District setting validation messages now display at the top of the page to indicate whether ADA codes and AR program codes are configured in District Settings.
- The ARB Calculation process now performs a full physical delete of existing ARB records prior to recalculation, scoped to the district or school level based on login context.
- Logic has been added to identify ATT records where a qualifying AR code is present and ATT.AMU is zero. When discrepancies are found, a message will appear at the top of the page with an option to resolve. Users with Mass Update permissions can update ATT.AMU directly from the ARB page; a confirmation prompt is required before the process…

Align the Student Dental Report with the Updated Dental Page Fields and Labels
Recent enhancements to the Student Dental page have caused the Student Dental Report to become misaligned with current fields, labels, and data organization. As a result, some report columns are unclear, incorrectly labeled, or no longer reflect how dental information is entered in Aeries, making it difficult for users to interpret results and verify accuracy. Aligning the Student Dental Report with the updated Dental page will improve clarity, reduce confusion, and ensure reported dental data is consistent, reliable, and easy to validate.
3 votesHello, this work item has been completed and was released on 5/12/26. Here are the relevant revision notes:
Student Dental Record Report:
- Updated the Student Dental Record report to align with the new fields and labels from the Dental data entry page. Added the OnSite Opt-out and Parent Notification columns to the report, and refreshed existing field-header labels (Waiver Reason, Screened By, Untreated Decay, Caries Exp., Treatment Urgency, Follow-Up Appt, Follow-Up Status) to match the data entry screen. The changes apply to both the Print button on the Dental page and the View All Reports section. See Dental document.

Improve New Year Rollover Performance and Reduce Processing Time
Some districts experience longer‑than‑expected processing times during New Year Rollover, which can delay important setup tasks. Improving the performance and efficiency of this process would reduce completion time, create a smoother experience, and help districts prepare for the new school year more effectively.
3 votesHello, this work item has been completed and was released on 4/14/26. Here are the relevant revision notes:
- Administration > New Year Rollover: Resolved a performance regression where the New Year Rollover process was taking 2–5 hours to complete instead of minutes. The issue was caused by excessive SQL overhead introduced by the Pre/Post Rollover Record Count feature.

Next Year Calendar Page Issue Reported Post 4/1/26 Release
An issue has been reported regarding the Next Year Calendar page that was introduced in the 4/1/26 release.
When using the option to Eliminate a Week From Calendar, the Monday date can be adjusted and the new dates will adjust; however, once save is clicked, the Tues-Fri dates revert back.
This issue is being investigated, and a Known Issue article has been posted: https://support.aeries.com/support/discussions/topics/14000022006.

Make "None" the First Choice on the Insurance Carrier Dropdown Menu
When choosing to Require Insurance Info during PDC, parents have the option to choose "None" if they do not have insurance. Currently, the "None" option is listed alphabetically, halfway down the list. Can we have the "None" option populate as the first option on the Insurance Carrier Dropdown menu? This will remove the need to instruct parents to search for "None" alphabetically. It is not intuitive to search for "None" in the middle of the listed Insurance Carriers.

The Insurance Carrier field label has been updated to Insurance Company in both portals. The field descriptions for Insurance Carrier Code (ICC) and Insurance Carrier Name (NM) have been updated to Insurance Company Code and Insurance Company Name respectively.

Students missing the Student Education Organization Association entity and triggering the PEIMS Error 40110-0001
Students that have multiple Enrollment (ENR) records in the current school year where enrollment at a prior school has been deleted (DEL-tagged) are failing to send a record in the Student Education Organization Association entity. The entity must be updated to exclude these deleted ENR records when evaluating the student's enrollment status for the current school year.
