Update to latest Calpads codes25 votesHello, this idea has been completed in the 4/18/2024 update. Here are the Revision Notes:
Student Data > Other > Internships - The following changes were made according to recent updates to Work Based Learning requirements for the 2023-2024 CALPADS EOY submission:
- In the Work-Based Learning Type field, the message "(NO LONGER IN USE BEGINNING 2024-25)" is now displayed for Code 30 because the code is being retired by CALPADS in 2024-2025.
- The Employer Evaluation field now includes Code 5-Not Provided by Employer.
School Info > Imports and Exports > CALPADS Extracts (EOY tab) - When creating the Work-Based Learning file, if student records exist with Work-Based Learning Type 10-Internships, the Course Code is now extracted in the WBLR file for field 21.12. Ed-Fi Table Query Access for Non-Admin User
Enhance security to Ed-Fi Data, Ed-Fi Results, and Ed-Fi Transaction Errors tables for Query access by non-admin users

The idea (or bug) has been completed in the 11/12/24 update. Here are the Revision Notes:
Security > Table Permissions - Under Ed-Fi, the following three tables were added allowing non-admin users to have read-only query access to the data:
- Ed-Fi Data (EFD)
- Ed-Fi Results (EFR)
- Ed-Fi Transaction Errors

CALPADS SIRS - Extract Days for Disp codes 100 110 or 200 only
In the CALPADS EOY SIRS extract, the Incident Result Durations Days should only be populated when the Incident Result Code is Suspension, In-School Suspension, or Expulsion (100, 110, or 200). Submitting days for codes other than 100, 110 or 200 will result in CALPADS Fatal error SIRS0509.

- The Student Incident Result extract (SIRS) now only extracts Incident Authority Code and Incident Duration Days when the Disposition Code is 100, 110, or 200. See EOY Discipline Files or CALPADS in Aeries Basics - Assertive Discipline.
- For the CRSE and CRSC extracts, the State Course codes list was updated to include Cambridge World Languages which now support extracting the Course Content Area subcategory.

New UI: More explicit visualization when logged into a prior year database
In the new UI, the only change when you change to a previous year is that the font is red. This has to be changed to something more profound so it is obvious when users are in a previous database as most colorblind users cannot see red.
8 votesHello, a fix for this issue was released on 08/06/2024. Here are the relevant revision notes:
- Aeries Header - If a user was logged into a prior school year, the school year menu was not adequately differentiated from the current school year menu, increasing the possibility that a user might inadvertently update prior year data. The school year menu is now shaded red and a clock icon is present when a user is logged into a prior school year.

7 votesHello, I wanted to let you know that work on this item was completed and it was released to customers on 10/22/2024. Here are the relevant revision notes:
School Info > Imports and Exports > CALPADS Extracts (Fall 2 and EOY) - The SDEM and SASS extracts now include the Staff Legal Last Name, Legal First Name, and Legal Middle Name fields when populated in their respective files. NOTE: When using the Legal Name fields in the Staff table, the non-legal Name fields must be populated with the staff member's preferred names. See CALPADS in Aeries Basics-Staff Data or CALPADS Cross Reference by Aeries Page.

CALPADS SSID Replacement File - remove hidden filler column
Update the file layout to remove the hidden 'filler' column in column 6. The SSID Replacement file should only contain 5 columns. See CALPADS document.
4 votesHello, I wanted to let you know that work on this item was completed and it was released to customers on 10/15/2024. Here are the relevant revision notes:
- CALPADS Extracts - The SSID Replacement process was not accepting the Replacement Files due to an extra hidden column used as a filler in Aeries. Now, the process accepts the original file from CALPADS which only contains 5 columns and will load successfully on the SSID Replacement tab. See CALPADS Extracts Identifiers - SSID Replacement files document.

Attendance History Configuration-disable button when process is running
Enhance the Attendance History Configuration page to display process start and end times & disable the manual button if the process is still running.
74 votesHello, this idea (or bug) has been completed in the 5/21/2024 update. Here are the Revision Notes:
Attendance Accounting > Configurations > Attendance History Config
- Date-time stamps are now provided to indicate when the process started and completed, whether run manually or nightly.
- The Update All Schools Now button is now disabled while the process is running, preventing the process from being run multiple times simultaneously. The button becomes available again once the process is completed and the page is refreshed. See Attendance History Configuration.

SINF Extract - Log info or notify user when a student has an error and 'failed' message displays
When the SINF process runs and a student has a 'failed' message, it displays the 'Failed and Student ID number" until the process finishes then later displays as "Completed" when it's finished. The file is still downloadable and is valid for the customer to use. A solution is needed to better handle when a student has an error and the error needs to be resolved by the customer prior to running the SINF extract again.

- The SINF extract now continues running when errors are encountered, and then sends an email message to the user containing all Student IDs with failed records and a description of the error. See CALPADS Extracts - Enrollment Update.

CALPADS SPRG ODS - enhance process for FRE records that need to be deleted
CALPADS SPRG ODS - Enhance the reconciliation process for FRE records that need to be deleted.
In the SPRG ODS Reconciliation process, the records with a date that started prior to the first day of school but after 6/30 of the previous year are being closed 1 day before the enrollment start date causing the record to receive a GERR0005 error in CALPADS and will not post successfully. LEAs do not have ownership which is causing LEAs to have to manually clean up data, in some cases hundreds of records.12 votesHello, this idea (or bug) has been completed in the 5/21/2024 update. - Student Data > Demographics (Export button)
- The CPRMetDate element was renamed to CPRAEDMetDate due to changes in graduation requirements. The export now includes the CPRAEDMetDate for students who have an Activities and Awards record where the Type field (ACT.TY) is 5 and the Code field (ACT.CD) is G02 or G05, indicating that the student received instruction in both CPR and AED. - Demographics - When the user clicks the Import button, a pop-up window is no longer displayed providing users the option to import from Online Enrollment or TREx. Now, clicking Import opens the Aeries Online Enrollment - Student List page allowing users to select a student who enrolled via Aeries Online Enrollment. The From TREx option was removed, as this feature is not currently supported. See Demographics.

Ed-Fi System Init and Testing - An Export Successfully Loaded Records to Excel button was added enabling users to extract JSON to Excel for any newly synchronized entities from the Ed-Fi Data (EFD) table, in order to view all synced records.
