CALPADS Extracts - For California users, the SSID Match feature was added to facilitate recent changes to the CALPADS SSID Match Results process. A SSID Requests file can be generated from the Identifiers tab, then the SSID Match Results file can be uploaded to Aeries. Once uploaded, the appropriate SSIDs can be selected for extract.

CALPADS SSID Import Issue as of 8/8/2023
As of 8/8/2023, the CALPADS SSID Extract layout changed and they added a new data element. This is causing the Aeries SSID Import to not import new SSIDs.

- The CALPADS Summer ELPAC Testing process has been enhanced to include utilizing the SSID Match tool.
- The Identifiers tab now has an option available when creating SSID identifiers for Summer ELPAC testing. The process will work with the SSID Match tab and the SENR extract that can be downloaded upon completion, will include the appropriate academic year and Start Date for pre-enrolling students in the next school year.
- On the Summer ELPAC Testing tab, these processes have been enhanced to align with the CALPADS redesign.
- The SINF extract for Summer ELPAC Testing is now available allowing for an SINF extract to be created for students taking the ELPAC test during the summer. This ensures that Parent and Address Information is uploaded into CALPADS…

CALPADS Extracts:
The page now supports the new three-character language codes for the 2023-2024 school year, which will be effective 9/19/2023. The translations will automatically be added to the cross-reference table (XRF). - The Parent Education Level is now extracted from the Ed Level field on the Contacts page (CON.ELV) for both parents according to the Codes Identifying Parent/Guardian in Contacts CON.CD on District Settings, due to changes in the CALPADS state requirements. If the district setting is blank, primary contacts are extracted.
- The Get Parent/Guardian Information from STU.PG and STU.PED (instead of CON) option is now disabled due to the changed requirements.
- A date picker was added allowing users to select the date on which changes are submitted. The default date can be changed as needed.

CALPADS: Exclude Standards Grade Level Range for Specific State Course Codes and Instructional Levels 23 or 24
To prevent the CALPADS fatal error CRSC0636, enhance the CRSC extract file to not automatically insert a Standards Grade Level Range (CRS.SGR) for courses with the following State Course Codes (CRS.C3): 7000 - 8999, 9020, 9082, 9096, 9120, 9154, 9200, 9227, 9273, 9303, 9358, and Course Instructional Level Codes (CRS.CL): 23 (College Credit Only) or 24 (Dual Credit).

Enhance Aeries to extract 1 day SENR enrollment records for reporting summer grads to CALPADS.

CALPADS STAS - Do not extract for students in NPS or Private Schools
As of 9/2024, CALPADS no longer accepts STAS records for students in an NPS or Private Schools (School of Attendance = 0000001) or private school group (School of Attendance = 0000002). Adjust the logic in Aeries to no longer extract automatically for these schools. Currently, Aeries automatically populates an exemption indicator for all NPS students. Remove logic that inserts the Exemption indicator.
66 votesHello, I wanted to let you know that work on this item was completed and it was released to customers on 4/29/2025. Here are the relevant revision notes:
School Info > Imports and Exports > CALPADS Extracts: As of September 2024, CALPADS no longer accepts STAS records for students in NPS (School of Attendance = 0000001) or Private Schools (School of Attendance = 0000002). Previously, Aeries automatically populated an exemption indicator for all NPS students. The logic that inserted the Exemption indicator was removed. Now, the STAS extract process will exclude NPS or Private school students in the CALPADS EOY > STAS extract files automatically so schools no longer need to de-select these schools. SINF Extract - Log info or notify user when a student has an error and 'failed' message displays
When the SINF process runs and a student has a 'failed' message, it displays the 'Failed and Student ID number" until the process finishes then later displays as "Completed" when it's finished. The file is still downloadable and is valid for the customer to use. A solution is needed to better handle when a student has an error and the error needs to be resolved by the customer prior to running the SINF extract again.

Enhance the CALPADS SENR Extract to insert an exit reason code of E156 for returning students coded with a STU.GR/STU.NG that is translated to grade 12 in Code Translations (XRF).

- The process to Auto-close Enrollment (E-155 & E156) 14 Days Before the End of the School Year has been adjusted to extract E156 if the student's grade has a translated value equal to 12. Before students with grade levels greater than 12 were not properly exited with an E156 when they completed their senior year and were returning as a 5th year senior and the student's next grade = 12. Now, those students with a grade translated to grade 12 per CALPADS Code Translations (XRF table) will now extract with E156 when this option is selected and all criteria is met. SSID Import fails with new CALPADS SpEd Indicator
CALPADS added a new field to the SSID Extract file to hold a Special Education indicator as of 9/15/2020. We are adjusting our import process to handle this new indicator in a similar fashion as the English Language Acquisition Code and Date in the SSID Extract.

The SSID import has been adjusted to account for the new “Student with Disabilities” column present in the file. Also, the SENR extract has been adjusted to only use E450 for PS, TD, or IN grades.

SENR ODS reconciliation process
Adjust SENR ODS reconciliation process to account for all dates found in the current year instead of only dates starting with 07/01.

Modify Internship page to hide prior year records, not inactive records.
Because internships are now part of the WBLR extract that happens at the end of the year, many times they are being recorded after the internship has ended. Once the record is saved, it disappears from view, and the user thinks the record didn't save properly, so duplicate records are added.

Student Data > Other > Internships - The Include Inactive Internships option was renamed to Include Prior Year Internships. When selected, all internship records are now displayed, including prior year records with an end date in the past. Previously only inactive records were listed. See Internships.

CALPADS SPRG ODS process - add option to skip FRE records with the Source of Direct Cert (FRE.SRC = DC)
Add an option to skip FRE records with the Source of Direct Cert (FRE.SRC = DC) in the SPRG files. This will allow the SPRG ODS process to not send up NSLP (FRE) records that have been created from the Direct Certification Import.

CALPADS Other Options Race Intentionally left blank should pull for SDEM
Adjust the SDEM extract to use the 'Race Intentionally Left Blank' option when STF race fields have this designated tag. Currently, the CALPADS option is only used for Students. Adjust this field to honor Staff too.

School Info > Imports and Exports > CALPADS Extracts (Fall 2 and EOY tabs) (SDEM) - The SDEM extract now honors the “Race Intentionally Left blank indicator” on the CALPADS > Other Options tab. The extract sets the Staff Race Missing Indicator to Y if the Race field on the Staff page (STF.RC1) is set to a code that is translated to 'Race Intentionally Left Blank." Updates26 votesHello, this issue has been resolved in the 6/22/22 update. Here are the Revision Notes:
CALPADS Extracts - The SENR Operational Data Store (ODS) tab now provides SENR extracts that are output in a zip file which contains separate files which are required due to changes with the operational key fields in the SENR extract. The sub-files are prepended with the order in which they should be uploaded, 001, 002, 003, etc.
Further refinements of this process are planned, including redesigning the Enrollment Update page. Until then, please use this process for all SENR updates needed.

Summer ELPAC Testing - Create process to run in current year (Before Rollover)
With the changes to TOMS and CALPADS, there is a need to allow the creation of SENR files and SELA records in the current year database to allow testing during the upcoming summer. Currently the process requires waiting until after Rollover process and run it in the new year database.
This solution will leverage the Next School, Next Grade and Next Special Program fields, and create enrollment records using the Next School Start Date from the School Options page. It will be important for schools using this process to have the data in these fields be correct.

Student Data > Other > Internships - The following changes were made according to recent updates to Work Based Learning requirements for the 2023-2024 CALPADS EOY submission:
- In the Work-Based Learning Type field, the message "(NO LONGER IN USE BEGINNING 2024-25)" is now displayed for Code 30 because the code is being retired by CALPADS in 2024-2025.
- The Employer Evaluation field now includes Code 5-Not Provided by Employer.
School Info > Imports and Exports > CALPADS Extracts (EOY tab) - When creating the Work-Based Learning file, if student records exist with Work-Based Learning Type 10-Internships, the Course Code is now extracted in the WBLR file for field 21.12.
