SSID MATCH TOOL PROCESS DOWNLOAD FILE NEEDS ADJUSTING TO ALIGN WITH CALPADS 23-24 changes
The logic in the SSID Match process is using the SENR layout when the file is produced which needs to be updated to align with the CALPADS 23-24 rollover changes that went into effect on 9/19/2023. The file being produced needs an additional column added to accommodate the STU.GEX field.

CALPADS Extracts - For CALPADS administrators, on the code translations tab, the CON.ELV values can now be selected in the dropdown under the CALPADS column when adding or editing a record for a custom code. Only custom codes need to be translated for CON.ELV.

CALPADS adjustments needed in schools using Alt Ed sections for SCSE/SCSC and CRSE/CRSC extracts
In a school where "Allow Individual Sections to be Flagged for Alt Ed Scheduling" is enabled in School Options, and the "Alt Ed Sched" (MST.AE) in the Master Schedule page is selected, add a prefix to the virtual Course section ID number in the SCSE/C and CRSE/C extracts to properly identify the Section number as a unique, virtualized number.

School Info > Exports and Imports > CALPADS Extracts - For schools using the School Setting "Allow Individual Sections to be Flagged for Alt Ed Scheduling", when CRSE/SCSE or CRSC/SCSC extracts are generated from the Fall 2 and EOY tab, now any Alt Ed course will include a V at the beginning of the virtualized number under Course Section ID column in order to prevent using a number that may already exist for an actual section.

The new code value assigned by CALPADS is 102 with an effective date of July 1, 2022 so that it may be used RETROACTIVELY for students who exited in the 2022–2023 academic year with the new diploma.

CALPADS Extracts - For California users, the SSID Match feature was added to facilitate recent changes to the CALPADS SSID Match Results process. A SSID Requests file can be generated from the Identifiers tab, then the SSID Match Results file can be uploaded to Aeries. Once uploaded, the appropriate SSIDs can be selected for extract.

Add an option to skip FRE records with the Source of Direct Cert (FRE.SRC = DC) in the SPRG files. This will allow the SPRG ODS process to not send up NSLP (FRE) records that have been created from the Direct Certification Import.

SENR ODS reconciliation - unneeded removal records generated
The SENR ODS reconciliation process is creating D records in the removals file needlessly when a student has an enrollment status change (such as grade level, school transfer) - commonly referred to as a 440 or E150 change. In these cases the enrollment date (start date) is not changing... nor are the other SENR operational key fields (School of Attendance, SSID, Start Date) - so a (D)elete record is not needed.
Having uneeded (D)elete records in the removals file causes increased workload due to:

CALPADS SPRG process - Adjust Program Start/End Dates to Enrollment Dates when CALPADS 504 option is de-selected
When the CALPADS option SPRG 504 Plans: Extract as an eligibility program with the program start date is de-selected, it should be analyzing enrollment dates and using enrollment Start and End dates instead of dates from FOF table if an FOF record exists and spans across school years.
Currently, there is no logic to handle programs that span across different school years. An example would be a FOF records that spans from 09/22/2022 to 09/11/2023 or from 12/5/2022 to 12/5/2023

School Info > Exports and Imports > CALPADS Extracts
- In flex and non-flex schools, the CALPADS > Fall 2 > Create Course Files (CRSE/SCSE) extract included sections that did not fall on the Census Date for itinerant teachers, which generated CERT079 error in CALPADS. The CRSE process for Itinerant Teachers now only extracts sections that meet on Information Day (Census Day). See Flex Scheduling - CRSE Extract or CALPADS in Aeries Basic - Master Schedule.

Updates26 votesHello, this issue has been resolved in the 6/22/22 update. Here are the Revision Notes:
CALPADS Extracts - The SENR Operational Data Store (ODS) tab now provides SENR extracts that are output in a zip file which contains separate files which are required due to changes with the operational key fields in the SENR extract. The sub-files are prepended with the order in which they should be uploaded, 001, 002, 003, etc.
Further refinements of this process are planned, including redesigning the Enrollment Update page. Until then, please use this process for all SENR updates needed.

GERR0005 - LEA does not have ownership of student enrollment to make the update
On the SINF file there is an error - "GERR0005 - LEA does not have ownership of student enrollment to make the update"
This error will not allow our SINF file to upload into CALPADS. This error kicks out if ANY data gets changed to a student that has already been closed out in CALPADS.
This happens for both Active and Inactive students. For example, a student leaves a school to transfer to a different District and is now inactive in Aeries and CALPADS. The school finds out the students Address changed, but we must update the address to send…

CALPADS SPRG ODS Delete File is Failing
Since the CALPADS Post Redesign, the SPRG ODS Extract requested from CALPADS is missing the Academic Year and is causing the Aeries Delete files to fail when submitting to CALPADS. This is CALPADS Known Issue #6050. Programming will adjust the Aeries SPRG ODS Reconciliation Delete files and add the Academic Year to prevent the CALPADS Failed message and allow the records to post.
