TX: Summer PEIMS - New Code Table C235 for E1596: Associate Degree Indicator
Beginning with the Summer PEIMS Submission for 23-24, TEA is requiring districts to report the actual associate degree the student earned using coding off of the new C235 table. This will be reported for students who completed an Associate's Degree in 11th or 12th grade.

Student Data > Other > Secondary Stu Data - The Associates Degree field was updated to use the new PEIMS C235 code table as required for the 2023-2024 Summer PEIMS submission (element E1596). See PEIMS/TSDS Field Mapping by Page - Secondary Stu Data.
School Info > Imports and Exports > Texas State Reporting (Summer PEIMS) - The StudentExtension interchange file now supports the new PEIMS C235 code table for the Associate Degree Indicator Code element (E1596) as required for the 2023-2024 Summer PEIMS submission. In a Flex school where primary class tracking is enabled, allow the extended field for PRIMARYTEACHERNAME and PRIMARYTEACHERID to be printed on the letter when added in the letter text editor for Attendance Letters

Reports > Attendance Letter - For schools using Primary Class Tracking, the following extended fields can now be printed on the letter if added in the Letter Text Editor:

CALPADS Other Options Race Intentionally left blank should pull for SDEM
Adjust the SDEM extract to use the 'Race Intentionally Left Blank' option when STF race fields have this designated tag. Currently, the CALPADS option is only used for Students. Adjust this field to honor Staff too.

School Info > Imports and Exports > CALPADS Extracts (Fall 2 and EOY tabs) (SDEM) - The SDEM extract now honors the “Race Intentionally Left blank indicator” on the CALPADS > Other Options tab. The extract sets the Staff Race Missing Indicator to Y if the Race field on the Staff page (STF.RC1) is set to a code that is translated to 'Race Intentionally Left Blank." Enhance the TREx extract to verify sections with multiple courses when using Alt Ed Scheduling for individual sections.

Student Data > Demographics - The Export options for TREx did not include courses when there was one section with multiple courses numbers (i.e., Alt Ed Scheduling). Now all courses are included when one section has multiple course numbers.

Student Demographics (TREx Export - Transcript) - The SPECIAL-EXPLANATION-CODE element in the Academic Session complex type was only extracted if entered on the Courses page (Course Characteristics table (CCH)). The element is now also extracted from Transcripts page (Course History Characteristics table (CHC)) if present for courses entered directly on the transcript. See TREx Field Mapping.

3 votesHello, this been completed in the 11/16/2023 update. Here are the Revision Notes:
Student Data > Enrollment History - When the enrollment Enter Date (ENR.ED) is added or changed for a student, the student School Enter Date field (STU.ED) is now automatically updated with the latest enrollment entry date that is not a code 440 Program or Grade Change.
No past data was changed. A future update will correct any missing or incorrect Schl Enter Dates. You may continue to use a Change query to set the STU.ED field when needed.
The STU.ED date field is used in the following features:
- Demographics - Export Student (TREx)
- Demographics - Update Attendance
- Transcripts
- PEIMS (Child Find extract)
- Gradebook > Assignments
- Reports > Students Actively Enrolled in Two Schools
- Reports > Students With Duplicate Enrollment
- Reports > Student Withdrawal Form
- Reports > Student Data Printout

CALPADS Extracts - With the new ISO language codes already rolled over as of 9/19/2023, the Language of Instruction needs to be translated in the CRSE and CRSC extracts for MST.LI.

CALPADS Extracts - For CALPADS administrators, on the code translations tab, the CON.ELV values can now be selected in the dropdown under the CALPADS column when adding or editing a record for a custom code. Only custom codes need to be translated for CON.ELV.

SSID MATCH TOOL PROCESS DOWNLOAD FILE NEEDS ADJUSTING TO ALIGN WITH CALPADS 23-24 changes
The logic in the SSID Match process is using the SENR layout when the file is produced which needs to be updated to align with the CALPADS 23-24 rollover changes that went into effect on 9/19/2023. The file being produced needs an additional column added to accommodate the STU.GEX field.

- Student Import - Users can now extract a list of incoming registrations by clicking the Export to Excel button. - See Aeries Online Enrollment Importing Students
- The Student Name column includes Enrollment ID.
- The Registration Date can be formatted in Excel to include the time of day when the registration was completed. The default format is MM/DD/YYYY, but the user can change the column format in Excel to use a custom format such as MM/DD/YYYY HH:MM:SS.
- The link to edit the Online Enrollment Settings is now hidden for users without permissions to edit School Options.
