  1. CALPADS STAS - Do Not Populate Attendance Recovery Field for Exempt Students

To prevent STAS0304, do not populate any value in the Attendance Recovery column for students marked as exempt when generating the STAS file. The Attendance Recovery Days column should contain 'null' if the student is exempt from Attendance based on the 13.13 Student Absence Summary Data Collection Exemption Indicator.

Hello, this work item has been completed and was released on 4/14/26. Here are the relevant revision notes:

    • Student Data > Programs > Special Programs: A new Total ELOP Days field (PGM.TED) has been added to the Special Programs page. This field is visible and editable only on PGM records where the Program Code is 194. It stores the total number of unique ELOP participation days reported to CALPADS. If a district is managing that data in a 3rd-party system, this field can be updated manually.
    • School Info > Imports and Exports > CALPADS Extracts:
    • Two new buttons have been added to the EOY tab:
    • Update ELOP Days Participated for All Students: Calculates total unique ELOP session days from Supplemental Attendance (ATD) records for qualifying students, as defined in District Settings, and writes the count to PGM.TED. If a PGM-194 record already exists, it will be updated. If no record…
  4. CALPADS SENR is removing actively enrolled records when 470 exists

As of the 10/21 release, the CALPADS SENR extract is removing actively enrolled records for students that also have a 470 No Show in the District.

Hello, this work item has been completed and was released on 11/5/25. Here are the relevant revision notes:

    • School Info > Imports and Exports > CALPADS Extracts:
    • The SENR extract has been adjusted to prevent extracting valid enrollment records in the Removals file when the student is a No-Show in another school.
    • The SPRG file has been adjusted to prevent including Special Ed records when processing the extract.
  5. CALPADS STAS Extract - Add Attendance Recovery Days

Beginning in 2025/26 the CDE will begin collecting the total number of days, as defined by statute, in the academic year in which a student participated in an attendance recovery program. Adjust the STAS extract file to include these calculations for reporting the Attendance Recovery (AR) days.

This issue has been resolved with the 4/29 release. Here are the pertinent revision notes:

    • School Info > Imports and Exports > CALPADS Extracts: On the Identifiers tab, the Load SSID process has been updated to accept the CALPADS SSID layout change released to LEAs on 4/22/2025.
  7. CALPADS: Exclude Standards Grade Level Range for Specific State Course Codes and Instructional Levels 23 or 24

To prevent the CALPADS fatal error CRSC0636, enhance the CRSC extract file to not automatically insert a Standards Grade Level Range (CRS.SGR) for courses with the following State Course Codes (CRS.C3): 7000 - 8999, 9020, 9082, 9096, 9120, 9154, 9200, 9227, 9273, 9303, 9358, and Course Instructional Level Codes (CRS.CL): 23 (College Credit Only) or 24 (Dual Credit).

Hello, this work item has been completed and was released on 5/6/25. Here are the relevant revision notes:

School Info > Imports and Exports > CALPADS Extracts: The CRSE and CRSC extracts have been adjusted to not extract columns 9.29 and 9.30 when the course level code is 23 or 24 (college course level).

  8. CALPADS - Exclude Program Code 194 in the SPRG Extract

Exclude the new Expanded Learning Program code (194) from the SPRG extract. This new code will be extracted in the upcoming LEAP extract. Note: Until the LEAP extract is released, it is suggested for LEAs to not translate code 194 in the CALPADS Code Translations. As a workaround, unmapping this code will suppress the code from being extracted in SPRG.

Hello, this work item has been completed and was released on 9/16/25. Here are the relevant revision notes:

    • School Info > Imports and Exports > CALPADS Extracts: The SPRG extract has been adjusted to prevent including program 194-Expanded Learning Programs, as these will be collected as part of a new LEA Programs (LEAP) extract during the EOY data collection.
  9. CALPADS Fall 2 PSTS Extract

Adjust the logic to not evaluate the Cohort year. CDE indicates the PSTS extract should extract regardless of cohort, the logic needs to be modified to no longer use this as a factor when the extract process is generated.

  10. CALPADS EOY: Behavioral Emergency (BER) Records Not Extracting Without Current Year Assertive Discipline (ADS) Records

The CALPADS EOY extract is not including Behavioral Emergency Records (BER) unless there is at least one record being reported from Assertive Discipline table (ADS). Enhance the SINC and SIRS logic to include Behavioral Emergency records (BER) even when no current year Assertive Discipline (ADS) records are included in the extract.

Hello, this work item has been completed and was released on 7/8/25. Here are the relevant revision notes:

    • School Info > Imports and Exports > CALPADS Extracts: Discipline extracts have been modified to retrieve BER records when no entries are found in the ADS table.
  11. CALPADS Extracts - Skip Special Program Code 135 Migrant in the SPRG extract

Hello, this work item has been completed and was released on 2/3/26. Here are the relevant revision notes:

    • School Info >Teachers: New State Course Codes 9701, 9702, and 9703 have been added to the State Course Code dropdown in the Teacher page for CALPADS reporting. This will allow elementary schools to utilize those course codes for elementary classes when appropriate.
  13. CALPADS Extract Should ALLOW LEAs to NOT Auto-Populate End Dates for SPRG Files

When districts generate SPRG files within the last 30 calendar days of the school year, the SPRG file created by Aeries will automatically close out all program records with the last day of school. The 'Do Not Extract Future Dates' does NOT apply to SPRG, it only applies to SENR. Aeries should allow DISTRICTS to determine if/when they auto-close program records in CALPADS prior to the end of school, similar to SENR records. Do not auto-close records prior to the end of the school year.

Hello, this work item has been completed and was released on 4/01/2026. Here are the relevant revision notes:

    • School Info > Imports and Exports > CALPADS Extracts: The SPRG extract has been adjusted to not close programs 30 days before the end of the school. Instead, the programs will be closed in the extract file when the extract is generated after the last day of school. See SPRG CALPADS Special Programs Chart.

  15. CALPADS SSID Identifier Match Tool for Summer ELPAC showing incorrect Reporting Schl

In some cases, the CALPADS SSID Identifier > SSID Match for the Summer ELPAC process is incorrectly displaying the Reporting School for the student in the SSID Match tab under the Aeries Student column in the Reporting School row. The Reporting School should display from the student's enrollment in the school's database but is instead displaying from the matched record in the Results file. Additionally, the Enrollment Exit Date is also being populated with the date from the candidates matched result.

Hello, this work item has been completed and was released on 9/30/25. Here are the relevant revision notes:

School Info > Imports and Exports > CALPADS Extracts > Identifiers:

    • The SSID Match Tool has been adjusted to include students tagged as inactive.
    • The SSID Match Tool has been updated to correctly display the reporting school in cases where it previously failed to do so due to a missing USS date in the LAC table.
    • When loading SSID match results for Summer ELPAC students, certain fields in the Aeries Student column within the SSID Match tab such as 'Reporting School' and 'Enrollment Exit Date' were incorrectly populated with data from the results file instead of reflecting the student’s current enrollment information from Aeries. Additionally, the 'Enrollment Exit Date' displayed was the date the student exited their previous LEA, not derived from Aeries data. This issue has been corrected, and the Aeries…
  16. CALPADS SINF Summer ELPAC Last Name Alias

For Summer ELPAC SINF, if First Name Alias Field is populated and the Last Name Alias is empty, adjust the logic so that the Last Name is inserted into the file to avoid receiving the IVR0011 or SINF0011 error in CALPADS.

Hello, this work item has been completed and was released on 7/15/25. Here are the relevant revision notes:

School Info > Imports and Exports > CALPADS Extracts > Summer ELPAC SINF Extract: Adjustments were made to handle the population of the Last Name Alias (LNA) and First Name Alias (FNA) fields:

    • if FNA is populated, but not LNA, LNA will be populated with STU.LN or LSI.LN
    • if LNA is populated, but not FNA, FNA will be populated with STU.FN or LSI.FN
  17. CALPADS STAS - Do not extract for students in NPS or Private Schools

As of 9/2024, CALPADS no longer accepts STAS records for students in an NPS or Private Schools (School of Attendance = 0000001) or private school group (School of Attendance = 0000002). Adjust the logic in Aeries to no longer extract automatically for these schools. Currently, Aeries automatically populates an exemption indicator for all NPS students. Remove logic that inserts the Exemption indicator.

Hello, I wanted to let you know that work on this item was completed and it was released to customers on 4/29/2025. Here are the relevant revision notes:

School Info > Imports and Exports > CALPADS Extracts: As of September 2024, CALPADS no longer accepts STAS records for students in NPS (School of Attendance = 0000001) or Private Schools (School of Attendance = 0000002). Previously, Aeries automatically populated an exemption indicator for all NPS students. The logic that inserted the Exemption indicator was removed. Now, the STAS extract process will exclude NPS or Private school students in the CALPADS EOY > STAS extract files automatically so schools no longer need to de-select these schools. See EOY CALPADS STAS or STAS Other Options.

  18. CALPADS SENR - Adjust 470 logic to align Enrollment Exit Date with Start Date

When using Exit Reason code N470, the enrollment exit date should equal the enrollment start date. Adjust the SENR extract no-show logic so that the exit date is equal to the enrollment date. This is necessary to adhere to guidance set forth by CALPADS so their CALPADS Certification EOY Special Ed reports 16.22 and 16.23 will include students properly. Change 470 logic to no longer use 1 day before the date entered into STU.SLD field.

Hello, this work item has been completed and was released on 10/21/25. Here are the relevant revision notes:

School Info > Imports and Exports:

    • CALPADS Extracts:
    • The SENR extract has been updated to extract the same start and end dates as stored in Aeries, instead of using the previous day when extracting No-Show students.
  19. Enhance CALPADS SENR Extract to Insert Exit E156 For Returning Students Coded with a STU.GR/STU.NG Translated to Grade 12

Enhance the CALPADS SENR Extract to insert an exit reason code of E156 for returning students coded with a STU.GR/STU.NG that is translated to grade 12 in Code Translations (XRF).
    i.e. local STU.GR/NG = 14-16 and XRF Student Grade (STU.GR) 14-16 = 12.

Hello, this work item has been completed and was released on 05/27/25. Here are the relevant revision notes:

    • The process to Auto-close Enrollment (E-155 & E156) 14 Days Before the End of the School Year has been adjusted to extract E156 if the student's grade has a translated value equal to 12. Before students with grade levels greater than 12 were not properly exited with an E156 when they completed their senior year and were returning as a 5th year senior and the student's next grade = 12. Now, those students with a grade translated to grade 12 per CALPADS Code Translations (XRF table) will now extract with E156 when this option is selected and all criteria is met. See CALPADS Extracts - Other Options Tab
  20. CALPADS Fall 2 CRSE - Adjust logic for itinerant sections using section staff (SSE)

For schools where section staff members are used (SSE), the itinerant logic needs to be modified to ensure the Class ID field has the same value when the class has multiple teachers according to (MST.MTS). Currently, schools with this scenario is causing CALPADS fatal error CRSE0639F2.
