CALPADS - Support importing new Migrant Eligible Program Students (MEPS) Extract in 2025-26
In 2025-2026, CALPADS will have a new Extract file for Migrant Students called MEPS that will come from a separate system. Allow this extract to be imported into Aeries in the Special Programs page.

CALPADS SENR is removing actively enrolled records when 470 exists
As of the 10/21 release, the CALPADS SENR extract is removing actively enrolled records for students that also have a 470 No Show in the District.

Update SSID Extract Import to Match the CALPADS Layout
The SSID Extract Import functionality needs to be revised to align with the updated CALPADS SSID Extract layout, ensuring compatibility with the new format

CALPADS: Exclude Standards Grade Level Range for Specific State Course Codes and Instructional Levels 23 or 24
To prevent the CALPADS fatal error CRSC0636, enhance the CRSC extract file to not automatically insert a Standards Grade Level Range (CRS.SGR) for courses with the following State Course Codes (CRS.C3): 7000 - 8999, 9020, 9082, 9096, 9120, 9154, 9200, 9227, 9273, 9303, 9358, and Course Instructional Level Codes (CRS.CL): 23 (College Credit Only) or 24 (Dual Credit).

CALPADS - Exclude Program Code 194 in the SPRG Extract
Exclude the new Expanded Learning Program code (194) from the SPRG extract. This new code will be extracted in the upcoming LEAP extract. Note: Until the LEAP extract is released, it is suggested for LEAs to not translate code 194 in the CALPADS Code Translations. As a workaround, unmapping this code will suppress the code from being extracted in SPRG.

CALPADS Fall 2 PSTS Extract
Adjust the logic to not evaluate the Cohort year. CDE indicates the PSTS extract should extract regardless of cohort, the logic needs to be modified to no longer use this as a factor when the extract process is generated.

CALPADS EOY: Behavioral Emergency (BER) Records Not Extracting Without Current Year Assertive Discipline (ADS) Records
The CALPADS EOY extract is not including Behavioral Emergency Records (BER) unless there is at least one record being reported from Assertive Discipline table (ADS). Enhance the SINC and SIRS logic to include Behavioral Emergency records (BER) even when no current year Assertive Discipline (ADS) records are included in the extract.

CALPADS Extracts - Skip Special Program Code 135 Migrant in the SPRG extract
CALPADS will no longer accept Special Program code 135 Migrant in the SPRG extract file beginning in 2025-26 school year. Skip this program code when the SPRG is generated beginning academic year 2025-2026.

CALPADS SSID Identifier Match Tool for Summer ELPAC showing incorrect Reporting Schl
In some cases, the CALPADS SSID Identifier > SSID Match for the Summer ELPAC process is incorrectly displaying the Reporting School for the student in the SSID Match tab under the Aeries Student column in the Reporting School row. The Reporting School should display from the student's enrollment in the school's database but is instead displaying from the matched record in the Results file. Additionally, the Enrollment Exit Date is also being populated with the date from the candidates matched result.

- When loading SSID match results for Summer ELPAC students, certain fields in the Aeries Student column within the SSID Match tab such as 'Reporting School' and 'Enrollment Exit Date' were incorrectly populated with data from the results file instead of reflecting the student’s current enrollment information from Aeries. CALPADS SINF Summer ELPAC Last Name Alias
For Summer ELPAC SINF, if First Name Alias Field is populated and the Last Name Alias is empty, adjust the logic so that the Last Name is inserted into the file to avoid receiving the IVR0011 or SINF0011 error in CALPADS.

CALPADS STAS - Do not extract for students in NPS or Private Schools
As of 9/2024, CALPADS no longer accepts STAS records for students in an NPS or Private Schools (School of Attendance = 0000001) or private school group (School of Attendance = 0000002). Adjust the logic in Aeries to no longer extract automatically for these schools. Currently, Aeries automatically populates an exemption indicator for all NPS students. Remove logic that inserts the Exemption indicator.

School Info > Imports and Exports > CALPADS Extracts: As of September 2024, CALPADS no longer accepts STAS records for students in NPS (School of Attendance = 0000001) or Private Schools (School of Attendance = 0000002). Previously, Aeries automatically populated an exemption indicator for all NPS students. The logic that inserted the Exemption indicator was removed. Now, the STAS extract process will exclude NPS or Private school students in the CALPADS EOY > STAS extract files automatically so schools no longer need to de-select these schools. See EOY CALPADS STAS or STAS Other Options.

CALPADS SENR - Adjust 470 logic to align Enrollment Exit Date with Start Date
When using Exit Reason code N470, the enrollment exit date should equal the enrollment start date. Adjust the SENR extract no-show logic so that the exit date is equal to the enrollment date. This is necessary to adhere to guidance set forth by CALPADS so their CALPADS Certification EOY Special Ed reports 16.22 and 16.23 will include students properly. Change 470 logic to no longer use 1 day before the date entered into STU.SLD field.

- The process to Auto-close Enrollment (E-155 & E156) 14 Days Before the End of the School Year has been adjusted to extract E156 if the student's grade has a translated value equal to 12. Before students with grade levels greater than 12 were not properly exited with an E156 when they completed their senior year and were returning as a 5th year senior and the student's next grade = 12. Now, those students with a grade translated to grade 12 per CALPADS Code Translations (XRF table) will now extract with E156 when this option is selected and all criteria is met. CALPADS Fall 2 CRSE - Adjust logic for itinerant sections using section staff (SSE)
For schools where section staff members are used (SSE), the itinerant logic needs to be modified to ensure the Class ID field has the same value when the class has multiple teachers according to (MST.MTS). Currently, schools with this scenario is causing CALPADS fatal error CRSE0639F2.

CALPADS CTE Course Section Provider Code (MST.TEP)
Per CALPADS Flash #287, field 9.27 - CTE Course Section Provider Code on the Course Section (CRSC) file is no longer being used and has become a “filler” field. Update the logic to exclude data from extracting when field MST.TEP is populated. Remove the green state reporting highlight.

Student Data Audit (CALPADS) - LIP 307
To prevent the error message "Participation program without a participation start date", enhance the report logic to utilize Eligibility Dates instead of Participation Dates when PGM.CD = 307.

- Reports > Student Data > Student Data Audit: A validation has been added under 'Discipline (ADS/DSP)' to evaluate if there are multiple Incident Dates for a single IID affecting multiple students. These records will cause fatal errors in EOY3 submissions. See Student Data Audit report.
