Update to latest Calpads codes25 votesHello, this idea has been completed in the 4/18/2024 update. Here are the Revision Notes:
Student Data > Other > Internships - The following changes were made according to recent updates to Work Based Learning requirements for the 2023-2024 CALPADS EOY submission:
- In the Work-Based Learning Type field, the message "(NO LONGER IN USE BEGINNING 2024-25)" is now displayed for Code 30 because the code is being retired by CALPADS in 2024-2025.
- The Employer Evaluation field now includes Code 5-Not Provided by Employer.
School Info > Imports and Exports > CALPADS Extracts (EOY tab) - When creating the Work-Based Learning file, if student records exist with Work-Based Learning Type 10-Internships, the Course Code is now extracted in the WBLR file for field 21.12. CALPADS adjustments needed in schools using Alt Ed sections for SCSE/SCSC and CRSE/CRSC extracts
In a school where "Allow Individual Sections to be Flagged for Alt Ed Scheduling" is enabled in School Options, and the "Alt Ed Sched" (MST.AE) in the Master Schedule page is selected, add a prefix to the virtual Course section ID number in the SCSE/C and CRSE/C extracts to properly identify the Section number as a unique, virtualized number.

School Info > Exports and Imports > CALPADS Extracts - For schools using the School Setting "Allow Individual Sections to be Flagged for Alt Ed Scheduling", when CRSE/SCSE or CRSC/SCSC extracts are generated from the Fall 2 and EOY tab, now any Alt Ed course will include a V at the beginning of the virtualized number under Course Section ID column in order to prevent using a number that may already exist for an actual section.

CALPADS Other Options Race Intentionally left blank should pull for SDEM
Adjust the SDEM extract to use the 'Race Intentionally Left Blank' option when STF race fields have this designated tag. Currently, the CALPADS option is only used for Students. Adjust this field to honor Staff too.

School Info > Imports and Exports > CALPADS Extracts (Fall 2 and EOY tabs) (SDEM) - The SDEM extract now honors the “Race Intentionally Left blank indicator” on the CALPADS > Other Options tab. The extract sets the Staff Race Missing Indicator to Y if the Race field on the Staff page (STF.RC1) is set to a code that is translated to 'Race Intentionally Left Blank." CALPADS Extracts - For CALPADS administrators, on the code translations tab, the CON.ELV values can now be selected in the dropdown under the CALPADS column when adding or editing a record for a custom code. Only custom codes need to be translated for CON.ELV.

SSID MATCH TOOL PROCESS DOWNLOAD FILE NEEDS ADJUSTING TO ALIGN WITH CALPADS 23-24 changes
The logic in the SSID Match process is using the SENR layout when the file is produced which needs to be updated to align with the CALPADS 23-24 rollover changes that went into effect on 9/19/2023. The file being produced needs an additional column added to accommodate the STU.GEX field.

CALPADS SSID Import Issue as of 8/8/2023
As of 8/8/2023, the CALPADS SSID Extract layout changed and they added a new data element. This is causing the Aeries SSID Import to not import new SSIDs.

- CALPADS Extracts (SENR) - For California users, for No Show students, the Enrollment Update now extracts the date one day prior to the summer withdrawal date (STU.SWD) if that date is after the first day of school.

The new code value assigned by CALPADS is 102 with an effective date of July 1, 2022 so that it may be used RETROACTIVELY for students who exited in the 2022–2023 academic year with the new diploma.

CALPADS Extracts:
The page now supports the new three-character language codes for the 2023-2024 school year, which will be effective 9/19/2023. The translations will automatically be added to the cross-reference table (XRF). - The Parent Education Level is now extracted from the Ed Level field on the Contacts page (CON.ELV) for both parents according to the Codes Identifying Parent/Guardian in Contacts CON.CD on District Settings, due to changes in the CALPADS state requirements. If the district setting is blank, primary contacts are extracted.
- The Get Parent/Guardian Information from STU.PG and STU.PED (instead of CON) option is now disabled due to the changed requirements.
- A date picker was added allowing users to select the date on which changes are submitted. The default date can be changed as needed.

- In flex and non-flex schools, the CALPADS > Fall 2 > Create Course Files (CRSE/SCSE) extract included sections that did not fall on the Census Date for itinerant teachers, which generated CERT079 error in CALPADS. The CRSE process for Itinerant Teachers now only extracts sections that meet on Information Day (Census Day). See Flex Scheduling - CRSE Extract or CALPADS in Aeries Basic - Master Schedule.

SENR ODS reconciliation - unneeded removal records generated
The SENR ODS reconciliation process is creating D records in the removals file needlessly when a student has an enrollment status change (such as grade level, school transfer) - commonly referred to as a 440 or E150 change. In these cases the enrollment date (start date) is not changing... nor are the other SENR operational key fields (School of Attendance, SSID, Start Date) - so a (D)elete record is not needed.
Having uneeded (D)elete records in the removals file causes increased workload due to:

Allow Dual Credit courses to be flagged as a Distance Learning course
When a course is set to Dual Credit (course level 23 or 24) allow the Distance Learning indicator and Online Course Instr Type to be populated by the LEA for CALPADS CRSC file. Remove the hard-coded "N" logic for DL Indicator.
