This feature has been added in the 3/30/2023 Aeries update. Here are the Revision Notes:
CALPADS Extracts - For California users, the SSID Match feature was added to facilitate recent changes to the CALPADS SSID Match Results process. A SSID Requests file can be generated from the Identifiers tab, then the SSID Match Results file can be uploaded to Aeries. Once uploaded, the appropriate SSIDs can be selected for extract.

CALPADS SPRG ODS Delete File is Failing
Since the CALPADS Post Redesign, the SPRG ODS Extract requested from CALPADS is missing the Academic Year and is causing the Aeries Delete files to fail when submitting to CALPADS. This is CALPADS Known Issue #6050. Programming will adjust the Aeries SPRG ODS Reconciliation Delete files and add the Academic Year to prevent the CALPADS Failed message and allow the records to post.

CALPADS Extracts - The SPRG extract now provides multiple extract files consolidated into a single zip file due to import process changes made by CALPADS. The sub-files are pre-pended with a three-digit number indicating the order in which they should be uploaded (e.g., 001, 002, 003, etc.)

Updates26 votesHello, this issue has been resolved in the 6/22/22 update. Here are the Revision Notes:
CALPADS Extracts - The SENR Operational Data Store (ODS) tab now provides SENR extracts that are output in a zip file which contains separate files which are required due to changes with the operational key fields in the SENR extract. The sub-files are prepended with the order in which they should be uploaded, 001, 002, 003, etc.
Further refinements of this process are planned, including redesigning the Enrollment Update page. Until then, please use this process for all SENR updates needed.

GERR0005 - LEA does not have ownership of student enrollment to make the update
On the SINF file there is an error - "GERR0005 - LEA does not have ownership of student enrollment to make the update"
This error will not allow our SINF file to upload into CALPADS. This error kicks out if ANY data gets changed to a student that has already been closed out in CALPADS.
This happens for both Active and Inactive students. For example, a student leaves a school to transfer to a different District and is now inactive in Aeries and CALPADS. The school finds out the students Address changed, but we must update the address to send…

5 votesHello, this issue has been resolved in the 2/9/2023 update. Here are the Revision Notes:
CALPADS Extracts - The CRSE extract now allows using the MST.CID (Class ID) if populated, instead of the section number as part of the Class ID, which enables correct counts in the CALPADS 3.1 Class Size - By Content Area Report for classes that are combined into one class with the same teacher but different section numbers. Adjust the CALPADS SPRG Extract when using FRE options
Adjust the SPRG extract file when using the "SPRG w/o FRE" or "SPRG only FRE" options to populate the file name and the Record Type Code with "SPRG_OTH" instead of "SPRG".
This will cause the file to error out when uploading to CALPADS and prevent clearing out existing program data in CALPADS.
Change file name extension and records in the file: to the following:
'SPRGOTH' when using the "SPRG w/o FRE" option

CALPADS Extracts, Enrollment Data Files - In order to prevent accidental deletion of CALPADS data, the SPRG extracts generated with the SPRG w/o FRE or SPRG only FRE options selected have been adjusted to generate with different file names and record types. This will ensure that the file will not be submitted to CALPADS. Only the full SPRG file should be submitted.

TK SPRG record not created for inactive student
Automatic SPRG records for TK-185 are not being created for a student with an Inactive tag. It is honoring the Enrollment End dates, and SPRG record is being created for NSLP. Without the Status Tag being populated (but enrollment ended) both SPRG records are created with Program End Date as of the last day of enrollment, so the issue is with the status tag field itself. This is only happening in Elem w/MST schools.

Update US School K-12 Entry Date with Earliest K-12 Date returned by CALPADS SSID Extract
When requesting SSIDs for new students, CALPADS is now returning the Earliest K-12 School entry Date. If the date stored in the US School K-12 Date in the Language Assessment screen is different or blank, update the LAC.USS with the date from CALPADS.
Note this change will not be done until CALPADS resolves Known Issue 5734: SSID Extract pulling most recent enrollment date instead of earliest K-12 enrollment date.

Summer ELPAC Testing - Create process to run in current year (Before Rollover)
With the changes to TOMS and CALPADS, there is a need to allow the creation of SENR files and SELA records in the current year database to allow testing during the upcoming summer. Currently the process requires waiting until after Rollover process and run it in the new year database.
This solution will leverage the Next School, Next Grade and Next Special Program fields, and create enrollment records using the Next School Start Date from the School Options page. It will be important for schools using this process to have the data in these fields be correct.

CALPADS Extracts – A new tab has been added to host the processes that manage students for Summer ELPAC Testing. These processes will look at ATT to see if it has been initialized. If it has not, it will use the school calendar. If it has been initialized it will create the extracts with the next year information. CALPADS - Extracts need to skip student with only records in Inactives School
Add filtering logic to exclude any student from being included in the extracts if the only student record resides in the school(s) designated on District Settings page as an Inactives School.

Would it be possible to put the names of the extracts under the "create files" for EOY like you have had in the past? It looks a bit confusing as to which files fall under the current way it's set up.

Create CALPADS SPRG 185 Records for TK from Student TK Grade Enrollment instead of PGM
Using PGM to generate SPRG 185 records for TK students is redundant as Aeries already has the -1 grade level for TK students. Adjust the CALPADS SPRG extract to process student ATT/ENR data for the TK Grade Level to generate SPRG 185 records. PGM 185 could still remain and continue to work, but schools should have the option to not use PGM.

The SPRG extract has been enhanced to handle program code 185 for Transitional Kindergarten students. No records will be needed in PGM. The program records will be dynamically inserted into the SPRG extract for those students who need it, with appropriate beginning and ending dates.

Make SINF change to look at Contacts selectable under Other Options so it can be selected when we are ready to make the change.

CALPADS Extracts1) A new setting was added under Other Options to force Parent/Guardian information (SINF/SIAD) to be extracted exclusively from STU.PG and STU.PED. The option is deselected by default. See CALPADS Extracts – Other Options Tab
2) The Parent/Guardian Highest Education Level will always be pulled from STU.PED, even when processing Guardian information from the CON table. This will remain in place until CALPADS changes the SINF file layout in preparation for 22-23.

Adjust CALPADS SINF extract to support separate Education Levels for Parents/Guardians
Adjustments needed because of changes CALPADS is making for Parent/Guardian information on the SINF file: Data is now being collected separately for Guardian 1 and Guardian 2: First Name, Last Name, Education Level.
Need to move extract from taking data from Parent/Guardian field (STU.PG) and now take it from the Contact table.
23 votesHello, the idea (or bug) has been completed in the 02/12/21 update. Here are the Revision Notes:
- District Settings – A selection list was added under District Settings for specifying which Record Type codes (CON.CD) represent the parent/guardian.
- CALPADS Extracts – The SINF extract now gets the Parent/Guardian information from the CON table.
- The option to choose between residential and mailing address was removed. SINF and SIAD now only use the mailing address.
Also, the Parent Highest Education Level field (STU.PED) has been made visible/editable on Student Demographics even if the field is empty.

Please add CA State Code Highlighting to the Internships page, based on the Work-Based Learning Type selected so customers can see what fields are required when doing data entry.
